Obtaining Test or Code Information for a Standard Office Procedure, Lab, and Diagnostic Orders

You can obtain test or code information for standard office, procedure, lab, and diagnostic orders to map with the corresponding care guidelines using the Order Management template. Most orders placed through templates for various office procedures and tests appear on the Order Management template for the patient. Basic test information for the codes and descriptions that need to be captured for associated guidelines to update can easily be reviewed from the Order Management template using example or test patients. Perform the following steps to obtain the test and code information for each order to map to guidelines. For a test patient on an existing or new encounter, open the Order Management template from the Templates module. Search the required order. Obtaining Test or Code Information for Codes Submitted to the Procedures Module

You can view the test or code information for codes submitted to Procedures module to satisfy a care guideline. When you want guidelines to update based on the codes submitted to the Procedures module, such as visit CPT® codes or billing codes, it is important to note that not all guidelines are updated from the Procedures module alone, and this functionality can vary depending on the NextGen® Enterprise EHR and NextGen® Adaptive Content Engine version and guideline. For instance, vaccines can be partially billed, so immunizations are never updated from the Procedures module. Additionally, it may not be appropriate for guidelines to update solely on billed codes as these are typically not sufficient evidence that a particular test is resulted, nor they are as easily canceled or removed if billed in error or are no longer applicable. Obtain Test or Code Information for Vaccines for the Patients

You can obtain the test or code information for vaccines using the Vaccine Orders or Inventory list in File Maintenance. Open File Maintenance. From Master Files > System, select Vaccine Inventory or Vaccine Orders. Review the items in the Vaccine Inventory List. To print a master report of all vaccine descriptions and CPT® codes, select the open menu button, and then select Print. You can obtain test or code information to map with the corresponding care guidelines on the practice templates. If it is available, obtain a list of the specific CPT® or test codes and descriptions that are used by your practice for each guideline. If the list is not available, you can review the procedures in this step to gather the codes and descriptions that are required to map the tests to guidelines. After the information is gathered, the tests can then be mapped to the corresponding guideline. Note: After you have the information for the test codes and descriptions to be mapped to corresponding care guidelines, you can proceed to mapping the codes on the practice templates. Obtain Test/Code Information for Vaccines for Individual Patients (Immunizations Module)

You can obtain the test or code information for vaccines for individual patient using the Order module template. Open NextGen® Enterprise EHR. On an encounter for a patient, open the Order module. Select the Immunizations tab. Select the latest date of the immunization for the guideline to map, for example, influenza. Add Administration Codes for COVID-19 Vaccines

The American Medical Association (AMA) has determined a unique Admin Code for each manufacturer and each dose of vaccines. Open File Maintenance. Under Master Files - System, select Vaccine Admin Billing. The Vaccine Admin Billing List window opens. To create the alternatives to be used when recording the unique administration code for each vaccine, select open menu , and then select New. If your practice is receiving both the Pfizer® and Moderna® vaccines, four administrative codes must be built into this file. Note: When recording administration of the vaccines in the Orders module, the system fills the administrative CPT4® code for COVID-19 vaccine based on the CPT code of the vaccine and sequence of dosage and for vaccines with the Administered status. Note: An alternative option for entering Vaccine Admin codes is to add the CPT code to the vaccine inventory entry. This setup works best if you have different lot numbers for doses.
