Import a CSV File into the NDC Library

To import NDC data records from an Excel file, you must save the file in CSV format, remove column headers, remove all commas, and arrange the columns in the order specified in this procedure.

Before importing a file, the file must meet the following requirements:

The file must be in a comma delimited format (.csv).
The file must have eight columns arranged in the following order from left to right:
1. Effective Date - If you import expired effective dates, the entries do not display as an option when you select an NDC from the charge entry screen. Only entries with a current or future effective date are displayed.
2. Expiration Date - Type the expiration date 99/99/9999. The 99/99/9999 date becomes 12/31/2099 when you import the file.
3. NDC Id - Type the correct NDC Identification code.
4. CPT4 Code - If two entries with the same CPT4 code have overlapping dates, only one entry is imported, and a message of invalid date range displays.
5. NDC Description - Type an NDC description with less than 250 characters. If one of the descriptions contains more than 250 characters, none of the entries are imported.
6. Drug Unit Price - Type a zero in this column because the drug unit price is not necessary for claims.
7. Basis of Measure - When you use a basis of measure that an 837 file does not support, such as EA, MU, MCG, IU, and GM, the file is imported, but the field is left blank in the NDC library. To correct the issue, you cannot add the information on the charge entry screen, but you must correct in the NDC library. The only measures you can send in an 837 file are: F2, GR, ME, ML, and UN.
8. Drug Unit Count - Type the drug unit count.
Remove all commas. For example, PREDNISONE, ORAL, PER 5MG would become PREDNISONE ORAL PER 5MG.
Remove the column headings.
To open the NDC list, click Libraries and then NDC.
To import the values, click the applicable library, click the open menu button, and then select NDC Import.
The Importing NDC window opens.
Note: If the library already contains NDC values, new imported values are appended after the existing ones. However, if an imported NDC is the same as an existing one but its value is different, the value is replaced with the imported one.
In the NDC Comma Delimited Input File field, click the open record button to browse for the file.
Select the applicable file, and then click Open.
The path for the file location displays in the NDC Comma Delimited Input File field.
Click OK.
The following message displays: Are you sure you want to import this NDC file?
Click Yes.
A message displays to indicate that your import was successful and indicates the number of rows inserted.
Click OK.
To view the imported values, open the NDC library. The values display in the columns.

Select the applicable file, and then click Open.

Click OK.

Click Yes.
A message displays to indicate that your import was successful and indicates the number of rows inserted.
Click OK.
To view the imported values, open the NDC library. The values display in the columns.
