Create or Modify an NDC Library in File Maintenance

Use the NDC library to create new NDC libraries or modify existing libraries. Refer to the Importing a CSV File into the NDC Library procedure for instructions on how to import NDC codes from an Excel file.

  1. In File Maintenance, select Libraries from the List Launcher or the menu bar and then select NDC.
    The NDC List window opens.

  2. From the NDC List window, do one of the following:
    • To add a new item, select open menu button , and then select New.
    • To modify an item, select the library you want to open and then select open menu button or double-click the selection.
    The NDC List Maintenance window opens.

  3. To search for an existing NDC code, use Filter Criteria section and select one of the following options:
    • NDC ID
    • Description
    • CPT4
  4. Enter or modify the NDC information according to the following list. You can enter NDC data by doing one of the following:
    • Manually entering data records
    • Creating a comma delimited file in Excel and importing the data into the library.
    • NDC ID: Enter or search for the unique 11-digit, 3-segment National Drug Code number. You must enter the number in the 5-4-2 (5 digits- 4 digits- 2 digits) format. Sort option - Select the NDC Id header to sort in ascending or descending order. Examples: 12345-1234-12 If your NDC is in another format (4-4-2, 5-3-2, or 5-4-1), you must add zeros before the appropriate segment so that the NDC meets the required format. Example: 12345-123-2 should be 12345-0123-02.
    • CPT4: Enter the CPT4 code associated with the NDC. You can enter up to 9 characters with two modifiers. Sort option - Select the CPT4 header to sort in ascending or descending order.
    • Eff Date: Enter the date the NDC becomes effective. Sort option - Select the Eff Date header to sort in ascending or descending order.
    • Exp Date: Enter the date the NDC ends. Sort option - Select the Exp Date header to sort in ascending or descending order.
    • NDC Description: Enter the drug name, vendor, and trade package size. Sort option - Select the NDC Description header to sort in ascending or descending order.
    • Drug Unit Price: Enter the drug unit price for the applicable CPT4 code. This field is used only for electronic claims. The default value is $0.00.
    • Basis of Measure: Select the drug unit f measure.
    • Drug Unit Count: Enter the dosage form, which is based on the second segment of the NDC. The second indicates a specific strength, dosage form, and formulation. For example, the NDC number 00004-1964-04 indicates a 1GR vial, so you would enter 1 in the Drug unit Count field. Negative Numbers- You cannot enter a negative number in this field.
    • Medicare_Billing_code: Enter the alternate Medicare billing code (Q coe). Reference- For more information about setting up alternate Medicare codes associated with Flu vaccines (Q codes) and administering immunizations, refer to the Orders Module Guide for NextGen® Enterprise EHR.
  5. Select OK.
