NDC Fields

Column	Description
NDC Id	Enter the unique 11-digit, 3-segment National Drug Code number. If the number you have is not 11 digits, you must enter the necessary preceding zeros. Note: The system automatically formats the number when the charge is passed to NextGen® Enterprise PM.
CPT4	Enter the CPT4 code associated with the NDC. You can enter up to nine characters with two modifiers.
Eff Date	Enter the date the NDC becomes effective. Note: The system automatically formats the number when the charge is passed to NextGen® Enterprise PM. If you entered an incorrect date and you want to move the cursor to the front of the cell, select the cell, and then select F2.
Exp Date	Enter the date the NDC ends. Note: The system automatically formats the number when the charge is passed to NextGen® Enterprise PM. If you entered an incorrect date and you want to move the cursor to the front of the cell, select the cell, and then select F2.
NDC Description	Enter the drug name, vendor, and trade package size.
Drug Unit Price	Enter the drug unit price for the applicable CPT4 code. The field is for reference purposes only. The default value is $0.00.
Basis of Measure	Select the drug unit of measure.
Drug Unit Count	Enter the dosage form, which is based on the second segment of NDC. The second segment indicates a specific strength, dosage form, and formulation. For example, the NDC number 00004-1964-04 indicates a 1 GR vial, so you would enter 1 in the Drug Unit Count field.
Medicare_Billing_Code	Enter the alternate Medicare billing code (Q code). Note: If the selected Flu vaccine has an associated Medicare Billing code (or Q code) and exists in the NDC Library, the system displays this code when the user completes an Immunizations order in the NextGen® Enterprise EHR Immunizations module. The system then passes the Q code to NextGen® Enterprise PM for charging.

In NextGen File Maintenance, select Libraries > NDC. The NDC List window opens. From the list, open the default NDC Library as specified in the Libraries > Practice Preferences. The NDC List Maintenance window opens. Use the Filter Criteria section to search for an existing NDC by ID, Description, or associated CPT4 code. Enter or modify the NDC information. After adding the Medicare Billing code information, select OK. Tip: After entering your Q codes and completing your NDC Library updates, select the Default NDC Library in File Maintenance > Practice Preferences to enable the NDC feature for your practice. The NDC Library enables you to create an NDC drug product list to help you manage billing for the vaccines given to patients. If you are administering certain Flu Immunizations to Medicare patients, you can ensure that these Immunizations are billed by adding their alternate Medicare codes (Q codes) and corresponding information in the NDC Library. Add a New NDC for a Charge

To add a NDC Id for a charge, do the following: Open NextGen® Enterprise PM. Select Charges. The Charge Posting window opens. Select the desired patient and encounter. Do one of the following using a SIM code that requires NDC information. Enter a new charge, and then select Save or Next. Select an existing charge, and then select the NDC Charges icon on the Charge Posting toolbar. The NDC Data for this Charge window opens. Select National Drug Code, and then enter the NDC Id in the 11-digit 12345-6789-01 format. Note: This field is required. Digits 1-5 indicate label, digits 6-9 indicate product, and digits 10-11 indicate package. In the Eff Date and Exp Date fields, enter the effective and expiration dates for the new NCD Id. These fields are required. When you enter a new NCD Id, the Service Date on the charge must fall within the Effective Date and Expiration Date and saved on the charge. Immunizations Billing Setup Best Practices

After the Immunizations have been setup, the charges are sent to NextGen® Enterprise PM for billing processing. As of January 1, 2014, to enable the government to identify vaccine brands for vaccine distribution planning, Immunization charges must have an associated NDC ID, including Basis of Measure and Drug Unit Count fields. Therefore, you must configure a NDC ID in the NDC Library. To help your practice streamline this process, you need to ensure that billing administrators and appropriate clinical staff set up your NDC ID codes and SIM codes appropriately. Administer Immunizations with Alternate Medicare Q Codes

If your practice administers Immunizations with Alternate Medicare codes (Q codes) to Medicare patients, you must first set up these codes in the NDC Library before placing an Immunizations order. These codes display on the Create New/Update Immunizations Order patient name window (Vaccine Details tab) in the Billing Code field. You must select these codes to ensure more accurate billing for Flu immunizations in NextGen® Enterprise PM. After you select the vaccines on the Select Vaccines tab, select the Vaccine Details tab. The Create New/Update Immunizations Order for <patient name> window opens on the Vaccine Details tab. On the Vaccine Details tab, select the vaccine, and provide the Vaccine and Immunizations details. Select a Registry from the list, if necessary. Select the Lot Number from the list or enter it manually, if necessary. The vaccine data defaults from the Vaccine Inventory, including the NDC ID if it exists. Enter the Vaccine Information on the Vaccines Tab

On the Vaccines tab, in the Orders Details section, enter the appropriate information for the specific vaccine (for example, Vaccine Name, Available Units). Note: In the Orders Details section, these fields are automatically filled in and cannot be changed: Status, Proc, Procedure Code Description, CVX code, and CVX Vaccine Name. Enter the Vaccine Name (required) for the Vaccine Inventory item. Select the Strength of the vaccine and the Quantity. Select the Route (method) in which the vaccine is administered, such as one of the following: Intramuscular, Oral, Subcutaneous, Nasal (Intranasal), Intravenous, or Intradermal. Note: To ensure the appropriate route displays when administering vaccines, select a route from the list. Your selection can only be one of the six routes displayed. Enter the Brand Name, select the vaccine Manufacturer, and enter the Lot Number, which may be indicated on the package.
