Setting up Vaccine Billing Administration Codes

To select billing administration codes more easily, you can set up a picklist of vaccine administration SIM billing codes at the practice level in File Maintenance. You can also set up custom SIM codes you have configured, such as a no charge employee Flu vaccine. The Vaccine Administration SIM Billing Codes enable you to select the billing administration codes to display when you administer immunizations (on the Vaccine Details tab's Admin CPT4 code field). Setting Up and Mapping Custom SIM Codes for Immunizations Billing

If your practice administers immunizations for VFC-eligible patients, for billing purposes, you can set up custom VFC SIM codes for these patients. Using the Vaccine Billing option in File Maintenance, you can indicate that a VFC custom SIM code is a default billing code. The default indicates that an immunization is being administered for a VFC-eligible patient. When administering Immunizations using the Orders' Immunization function, the default VFC Vaccine Billing code automatically displays in the Vaccine Billing code field on the Create New/Update Immunizations Order for patient name window. After the immunization is Completed or Partially Administrated, the Vaccine Billing codes are then passed to NextGen® Enterprise PM for charge processing. To streamline vaccine billing as you complete various Immunizations tasks, ensure that billing administrators and appropriate clinical staff set up your NDC ID codes and SIM codes appropriately. Set up and map Custom SIM Codes for Immunizations Billing Set up Vaccine Billing Administration codes. Before you set up the vaccine inventory, select your practice’s default NDC Library and set up the NDC Library. Note: This enables the system to display the NDC details in the NDC Lookup when you add or update the vaccine inventory; or when you administer Immunizations in the Immunizations module. For accurate billing of alternate Medicare billing codes of certain Flu vaccines, your billing administrators also need to set up the NDC ID codes in the NDC Library. If you administer VFC Immunizations to VFC-eligible patients in your practice, for VFC billing purposes, you can configure unique custom SIM codes for the VFC and non-VFC patients for each location. Set Up Alternate Medicare Billing Q Codes in the NDC Library

In NextGen File Maintenance, select Libraries > NDC. The NDC List window opens. From the list, open the default NDC Library as specified in the Libraries > Practice Preferences. The NDC List Maintenance window opens. Use the Filter Criteria section to search for an existing NDC by ID, Description, or associated CPT4 code. Enter or modify the NDC information. After adding the Medicare Billing code information, select OK. Tip: After entering your Q codes and completing your NDC Library updates, select the Default NDC Library in File Maintenance > Practice Preferences to enable the NDC feature for your practice. Column Description NDC Id Enter the unique 11-digit, 3-segment National Drug Code number. If the number you have is not 11 digits, you must enter the necessary preceding zeros. Note: The system automatically formats the number when the charge is passed to NextGen® Enterprise PM. CPT4 Enter the CPT4 code associated with the NDC. You can enter up to nine characters with two modifiers. Eff Date Enter the date the NDC becomes effective. Administer Immunizations with Alternate Medicare Q Codes

If your practice administers Immunizations with Alternate Medicare codes (Q codes) to Medicare patients, you must first set up these codes in the NDC Library before placing an Immunizations order. These codes display on the Create New/Update Immunizations Order patient name window (Vaccine Details tab) in the Billing Code field. You must select these codes to ensure more accurate billing for Flu immunizations in NextGen® Enterprise PM. After you select the vaccines on the Select Vaccines tab, select the Vaccine Details tab. The Create New/Update Immunizations Order for <patient name> window opens on the Vaccine Details tab. On the Vaccine Details tab, select the vaccine, and provide the Vaccine and Immunizations details. Select a Registry from the list, if necessary. Select the Lot Number from the list or enter it manually, if necessary. The vaccine data defaults from the Vaccine Inventory, including the NDC ID if it exists.
