Select an Existing NDC for a Charge

To select an existing NDC ID for a charge, do the following: Open NextGen® Enterprise PM. Select Charges. The Charge Posting window opens. Select the desired patient and encounter. Do one of the following using a SIM code that requires NDC information. Enter a new charge, and then select Save. Select an existing charge, and then select the NDC Charges icon on the Charge Posting toolbar. The NDC Data for this Charge window opens. Select the Open Record button. The NDC Lookup window opens displaying the list of all existing NDC records for the CPT code. To search for a specific NDC Id, select the following in the Search In section. The NDC option to search by the NDC ID. The Description option to search by the NDC Description. Select the Type the first number(s) of the NDCs you want to locate field, and then enter the desired search criteria. Enter NDC Information for a Charge

When you enter a charge for a HCPCS or CPT4 code that is set up in the NDC Library, NDC Data for this Charge window appears when the charge is saved. NDC Data for this Charge window allows you to entry NDC information for the charge. Depending on the number of existing NDC Ids in the NDC Library for the CPT4 code on the charge, the NDC information can be attached to the charge in the following ways: If only one NDC Id exists for the CPT4 code, then the NDC Id automatically attaches to the charge. If multiple NDC Ids exist for the CPT4 code, then an NDC Id can be manually selected for the charge. If no NDC Id exists for the CPT4 code, then an NDC Id can be manually added on-the-fly for the charge. Note: Hidden NDC IDs, are those that have been deleted from the NDC Library in File Maintenance. NDC Fields

Column Description NDC Id Enter the unique 11-digit, 3-segment National Drug Code number. If the number you have is not 11 digits, you must enter the necessary preceding zeros. Note: The system automatically formats the number when the charge is passed to NextGen® Enterprise PM. CPT4 Enter the CPT4 code associated with the NDC. You can enter up to nine characters with two modifiers. Eff Date Enter the date the NDC becomes effective. Note: The system automatically formats the number when the charge is passed to NextGen® Enterprise PM. If you entered an incorrect date and you want to move the cursor to the front of the cell, select the cell, and then select F2. Exp Date Enter the date the NDC ends. Enter the Vaccine Information on the Vaccines Tab

On the Vaccines tab, in the Orders Details section, enter the appropriate information for the specific vaccine (for example, Vaccine Name, Available Units). Note: In the Orders Details section, these fields are automatically filled in and cannot be changed: Status, Proc, Procedure Code Description, CVX code, and CVX Vaccine Name. Enter the Vaccine Name (required) for the Vaccine Inventory item. Select the Strength of the vaccine and the Quantity. Select the Route (method) in which the vaccine is administered, such as one of the following: Intramuscular, Oral, Subcutaneous, Nasal (Intranasal), Intravenous, or Intradermal. Note: To ensure the appropriate route displays when administering vaccines, select a route from the list. Your selection can only be one of the six routes displayed. Enter the Brand Name, select the vaccine Manufacturer, and enter the Lot Number, which may be indicated on the package. Add Charges to an Invoice

To add charges to an invoice, do the following: Note: After adding charges to an invoice, the charge status changes to Rebill from Billed. Open NextGen® Enterprise PM. Select the Account icon on the main toolbar. The Account Lookup window opens. Enter the employer name in the Employer/Last Name field, and then clear the People Accounts check box. Select Find. The employer displays in the Account List section. Double-click the account. The Account Profile window opens. Select the Inv Summary or Inv Detail tab. Select the invoice to add charges. Select the Open Menu button and select Charges. The Charge Posting window displays the following information: Account: Employer name Invoice: Invoice number and date Svc Dates: Invoice create date Select New to enter the first charge. Enter the following for each charge: Svc Dates: Service Dates default from the invoice create date and can be modified if needed. Svc Item: Enter the SIM code for the charge being entered. Enter Dental Charges

Open NextGen® Enterprise PM, and then select Charges. The Charge Posting window opens. Select the desired patient and encounter. Do one of the following: To add a charge, select New. To modify a charge, select the charge and then select Open. In the Svc Dates fields, enter the service date range for the charge. These fields default to the Billable Date, when you select it on the Encounter Maintenance window. Select Svc Item, and then enter the applicable dental service item. The Unit and Override fields default to the price from the SIM Library. The Extended field is calculated as (Quantity x Override = Extended) and displays the total price for the charge. Select Modifier, and then enter up to four modifiers for the charge. Select Quantity, and then enter the desired quantity. The Quantity field defaults to 1.
