Archiving Statements

Statements can be archived when they are printed or exported so that an image of each statement is stored and available for viewing in the guarantor’s Account Profile. When a statement is archived, you can view or reprint the image but you cannot delete it. Note: Statements have a Reset Print Dates option that can be used in the event a batch of statements needs to be reprinted or exported. If a batch is reset and then reprinted/exported, the original archived statement image is still stored. The new image resulting from the reprint/export is also stored and available for viewing. Generating Batch Statements

Statements for all guarantor accounts that have met or exceeded the Number of Days between Statements defined in Practice Preferences > Statements can be generated at the same time in a batch. To include a guarantor account in the batch, the account must meet all criteria and parameters selected on the Statement Options window. The default settings on the Statement Options window are from pre-defined settings in Practice Preferences > Statements. For more information on Statement Options, go to the NextGen Healthcare Success Community and download the File Maintenance Preferences Guide for NextGen® Enterprise and refer to the Statements Practice Preferences section. Resetting Statement Print Dates

When printing or exporting an individual demand statement or a batch of statements, if the Update Last Statement Dates check box is selected on the Statement Options window and you select the Print or Export button. A confirmation message appear stating that the statements are printed or exported correctly. If you select Yes on the message, the following parameters are updated on the Account Profile, Properties tab for every guarantor account in the batch. The accounts will not qualify for another statement until they again meet or exceed the Number of Days between Statements defined in Practice Preferences > Statements. Last Statement Print Date Next Statement Print Date Statement Counter If after selecting Yes to the message, you discover that the batch did not actually print or export correctly (e.g., paper jam on printer), the statements cannot be regenerated because the above parameters have already been updated for each guarantor account. Generating Individual Demand Statements

You can generate a demand statement for an individual guarantor account from the following areas in NextGen® Enterprise PM. The statement includes all patients on the account that have encounters where the account was selected as the guarantor. Account Lookup Account Profile A demand statement for an individual patient can be generated from the following areas in NextGen® Enterprise PM. The statement includes encounters for the selected patient only. Patient Lookup Patient Chart Charge Posting Payment Entry Print or Export an Account Statement from Account Lookup You can print or export an account statement from Account Lookup on the Guarantor Statement window. Suppress SIM Descriptions from Statements

Descriptions for all SIM codes can be suppressed from being included on guarantor statements. This option will not suppress the SIM codes from appearing on statements, and it applies to both batch and individual demand statements. This might be used for privacy or sensitivity reasons (for example, HIV testing) or to provide additional space for a brief statement message to print next to each charge on detailed statements. Note: A default setting for this option cannot be made in Practice Preferences > Statements. Therefore, the Suppress SIM Description check box must be selected for each statement run, if applicable. For the Individual Demand Statement, do the following: Open NextGen® Enterprise PM. Select Account. The Account Lookup window opens. Enter Search Criteria to locate the desired account. Select Find. Suppress Statements for a SIM Code

Specific SIM codes can be suppressed from being included on guarantor statements. Note: Selecting Suppress from Statement not only suppresses the SIM code from statements, but also suppresses the charges amount and any related transactions. Open File Maintenance. Select Libraries, and then Service Items. The Service Items List window opens. From the list, double-click to open the desired library. The Service Item Library Maintenance window opens. In the Search field on the left, select the SIM code to be suppressed from statements. On the General tab, select the Suppress from Statement check box.
