Check Out the Group Members from a Group Appointment

From the Edit Group Appointment window, you can check out all or certain group members who have checked in to the group appointment. This concludes the group appointment and captures the date and time. Select ApptBook on the main toolbar. From the Daily, Weekly List, Weekly Schedule or Multi-View view, select a group appointment that is in Kept status. Right-click and then select Open > Group Appointment. The Edit Group Appointment window opens. Select open menu and then select Checkout Members. Note: This option is not available if all the members are checked out. The Group Checkout window opens. Note: In this image, the members shown in grey are the unchecked members. The member shown in red is an expired patient and it is mentioned in parenthesis next to the member's name. On the Group Checkout window, select the checked in member check boxes. Note: You can identify the checked in members when they have an encounter number in the Encounter column. Select Checkout. Enable Group Scheduling

To utilize the patient groups, group appointments, and group encounters functionality in NextGen® Enterprise PM, an option must be enabled in Practice Preferences. Access NextGen® Enterprise PM. From the Admin menu, select Preferences, and then Practice. The Practice Preferences window opens. From the Preference List, select Appt Scheduling. Select the Enable Group Scheduling check box. Setup Access Rights for Group Scheduling

To work with patient groups, group appointments, and group encounters in NextGen® Enterprise PM and NextGen® Enterprise EHR, users must have security access rights in System Administrator. Access System Administrator. The NextGen System Administrator window opens. On the left, select to expand an enterprise and then a practice. Select a user group within the practice. Select the Rights tab. To enable users to add or modify Patient Groups in NextGen® Enterprise PM and NextGen® Enterprise EHR, do the following: Select to expand Operations, and then select Patient Group. In the Access Rights section, select Yes. To enable users to schedule Group Appointments in NextGen® Enterprise PM, do the following: Select to expand Modules, then expand Scheduling, and then select Appointments. In the Access Rights section, select Add. To enable users to create Group Encounters in NextGen® Enterprise PM and NextGen® Enterprise EHR, do the following: Select to expand Operations, then expand Encounters,

Quick Check In and Check Out of Group Appointment

Group check in and group check out options are added to the right-click menu on Appointment Book to facilitate quick check in and check out of the group appointment without going to Edit Group Appointment window every time a member checks in or checks out from the group appointment. These options reduce the steps taken for check in and check out of the group appointment. The Enable Group Scheduling check box must be selected in the Practice Preferences to utilize these options. The security access rights in Operations for Checkin and Checkout in System Administrator application governs the group check-in and check-out in NextGen® Enterprise PM. You can perform the following operations with these options for the group appointment: Check in of all scheduled members Check in of selected members Check out of all checked-in members Check out of selected members Quick Check In of Group Appointment You can quickly check in group appointments and create group encounter in the Appointment Book.

Group Scheduling

Group Scheduling can be used by practices that render services in a group setting. For example, a clinic may provide education, support, counseling or therapy sessions to various groups of patients. When Group Scheduling is enabled for a practice, you can create a group that includes specific patients. Then a single group appointment can be scheduled that automatically creates a separate appointment for each patient in that group. In addition, at check-in a single group encounter can be created that automatically generates separate encounters for each patient in the group. Quick Check In of Group Appointment

Using the group check in option on the right-click menu of the Appointment Book, you can mark arrived members as Kept and create a group encounter in short time. You can check in the group appointment for: All scheduled members Arrived members You can associate the existing group encounter to the individual member and the scheduled members through group check in option from the right-click menu on Appointment Book.
