Creating Encounters

Encounters can be created for patients from the following areas in NextGen® Enterprise PM: Appointment Book Patient Chart Tasks Menu Charge Posting Practice Preference for Required Encounter-Level Program In a practice, a program can be set to be required for an encounter for specific locations. Create an Encounter from an Appointment You can create an encounter for a patient with appointment from the appointment book. Create an Encounter from the Patient Chart You can create an encounter for a patient without appointment from the patients chart. Create an Encounter from the Tasks Menu You can create an encounter for a patient from the Tasks menu. Encounter Types

The following encounter types are used in the NextGen® Enterprise applications: Billable Encounters that comprise chargeable services and information on charges for the services for a patient. By default, the NextGen® Enterprise PM and NextGen® Optical Management encounters are of billable encounter types. Clinical This encounter type is for encounters holding clinical information such as procedures, medications, allergies, etc. for a patient chart. By default, the NextGen® Enterprise encounters are of Clinical encounter types. Optical This encounter type is used in NextGen® Optical Management for holding optical-related information for a patient chart. Significant Events for Encounters

Once enabled, significant event messages are recorded in the Patient Chart > Clinical History/Notes tab when the event occurs. Create an Encounter

Before you begin Ensure that you have configured the encounter inheritance settings for Encounters on the Practice Preferences window in File Maintenance. When you have a patient chart open, you can create an encounter for the patient. Each new encounter may inherit information such as Encounter Details and Insurance from the previous encounter in the patient chart. You can add templates, documents, images, and other patient items to the new encounter. You can also assign insurance, enter remarks, and associate a program to an encounter. Open NextGen® Enterprise EHR, and select a patient from Patient Lookup window. To create an encounter, do one of the following: On the Patient Information Card (PIC), select New Encounter. On the PIC, select Profile Options, and then select New Encounter. On the Encounter History tab, select New Encounter. From the File menu, select New > Encounter. Encounters in NextGen® Enterprise EHR

An encounter is an interaction with a patient on a specific date at a specific time. An encounter can be a visit, a phone call, a virtual visit, a referral, a test result, or an interaction. A patient can have more than one encounter per day. Patient encounters are displayed on the Encounter History tab. You can expand or collapse the Encounter History tab using the button above the Quick Buttons panel. Each row in the Encounter History tab represents one encounter. Encounters are identified by date and time, provider, and location. The Encounter History tab displays basic information of an encounter like the rendering provider, location, appointment type/reason for visit, templates and documents related to the appointment. Create a Group Encounter for Scheduled Members

Open NextGen® Enterprise PM. From the main toolbar, select ApptBook. In the Daily, Weekly, Weekly Schedule, or Multi-View, select an individual appointment scheduled as part of a group appointment. Select Open > Group Appointment. The Edit Group Appointment window opens. Select open menu , and then select Create Group Enc for Scheduled Members. This option is not available if a group encounter already exists for the group appointment. The Add Group Encounter window opens. The details of a group appointment are filled in the Patient Group, Billable Date, Billable Time, and Service Location fields and cannot be modified. Note: In the Practice Preference window, on Encounters practice preference, the Default previous payer(s) to encounters created in PM option is selected by default. If you clear this option, new encounters you create from NextGen® Enterprise PM do not have insurance added from the previous encounter, and when you save the new encounter, it defaults to self-pay.
