In a practice, a program can be set to be required for an encounter for specific locations.

You can create an encounter for a patient from charge posting.
An In Progress encounter is an encounter that has not been completed and therefore is not stated in accounts receivable. When an Encounter has an In Progress status, its process date is blank and it is not included in financial information.

Significant Events for Encounters
Once enabled, significant event messages are recorded in the Patient Chart > Clinical History/Notes tab when the event occurs. Encounters in NextGen® Enterprise PM
An encounter is an interaction between a patient and a provider in the practice on a specific date and time. In NextGen® Enterprise PM, office encounters are typically created from the appointment book when each patient checks in for their appointment. Facility encounters that are not related to an appointment, such as hospital and nursing home visits, can be created from the patient's chart. Clinical information related to a specific encounter is documented by the provider in NextGen® Enterprise EHR. Financial information, such as charges, billing and transactions, is entered on that same encounter by users in NextGen® Enterprise PM. The Encounters tab on Patient Chart lists all encounters for a patient, and the Encounters Detail tab on Account Profile lists all encounters for a guarantor. Create an Encounter from Charge Posting
Access the Charge Posting window for the desired patient. In the Encounter field, select the drop-down arrow and select (new). A message appears asking if you want to create a new encounter for [Patient Name]. To create an encounter, select Yes. One of the following occurs: If the patient has previous encounters, the new encounter is created with the following parameters: Billable Date: Defaults to the Service Date selected in Session Settings, or to the current system date. Rendering: Defaults to the rendering provider on the last encounter. Location: Defaults to the Service Location selected in Session Settings, or to the location on the last encounter. Note: In the Practice Preferences window, on Encounters practice preference, the Default previous payer(s) to encounters created in PM option is selected by default. Create an Encounter from the Patient Chart
If a patient does not have an appointment but has services performed by a provider in the practice, then an encounter is required for the patient. For example, you can create an encounter from the Patient Chart for a patient seen by a provider in a hospital or nursing home. From Patient Chart, select the Encounters tab, and then select the General sub-tab. Do one of the following: In the Encounter Information section, select the open menu and then select New. In the Encounters section, right-click and then select New. The Create Encounter window opens. In the Billable Date field, enter the encounter date. The date is selected from one of the following by default and can be changed as required: The service date selected in session settings. The current system date. In the Billable Time field, enter the encounter time. The time is set to 12:00 AM by default. Note: The billable time changes to the current system time if you select the Default Enc Billable Time to System Time check box in

Create an Encounter from an Appointment Create an Encounter from an Appointment If a patient has appointment and services performed by a provider in the practice, you must create an encounter from the appointment during the check-in process. Open NextGen® Enterprise PM. From Appointment Book, select the appointment. Right-click an appointment and select Checkin/Create Encounter. The Add Patient Information window opens. If the patient does not have a chart, update necessary information in the Add Patient Information window, and then select Chart to create the patient's chart. The Create Encounter window opens. Select a program for the encounter. Enter all the mandatory information marked in red to complete the patient's encounter. Note: In Practice Preferences > Case Management, if the Allow encounter payers to differ when case is attached preference is selected, you can link a case to an appointment even if the insurance on the appointment differs from the insurance on the case. Working with Programs in NextGen® Enterprise PM
When Programs are enabled for a practice, you can utilize the following functionality in NextGen® Enterprise PM: Enroll a patient in a program in the Patient Chart from Programs sub-tab under Patient Information tab . Link a patient's encounter to a program from the Create Encounter or General tab on the Encounter Maintenance window. Display a warning message when an encounter does not meet program-specific requirements. Default new encounters to In Progress status when they are created and linked to a specific program. View the program linked to a patient's encounter in the Patient Chart from the General sub-tab under the Encounters tab . Display warning messages on the Charge Posting window when a charge does not meet program-specific requirements. Generate a Daily Encounters, Billed Encounters or Unbilled Encounters report to review and monitor encounters that are linked to programs.
