Create an Encounter from the Tasks Menu

  1. From the Tasks menu, select Create Encounter.
    The Patient Lookup window opens.
  2. Enter the search criteria to locate the required patient, and then select Find.
  3. The patients that match the search criteria appear in the Matching Records section at the bottom of the Patient Lookup window.
  4. From the Matching Records list, double-click a patient.
    The Create Encounter window opens.
  5. In the Billable Date field, enter the encounter date. The date is selected from one of the following by default and can be changed as required:
    • The service date selected in session settings.
    • The current system date.
  6. In the Billable Time field, enter the encounter time. The time is set to 12:00 AM by default.
  7. In the Rendering field, select the rendering provider.
  8. In the Service Location field, select the encounter location.
  9. In the Program field, select a program for the encounter, if applicable.
  10. Enter all the additional information to complete the patients encounter. The fields displayed in red are required.
  11. To save changes and close the window, select OK.
    A message appears stating the encounter has been created and would you like to attach an insurance.
  12. Do one of the following:
    • If you want to bill the encounter to the patients insurance, select Yes.

      The Encounter Insurance Selection window opens.

    • If you want to bill the encounter to the guarantor, select No. For example, self-pay.
