Insert Data Fields in Form and Label Templates

When you design forms and labels, you can use the NextGen Data Repository window to select and place the data fields that you want displayed when you print your custom designed forms or labels.

To insert data fields in a form or label template:

  1. Open the template in File Maintenance.
  2. In the Form Design window, select Insert Data Field .
    The NextGen Data Repository window opens.

  3. Double click on the applicable icon to display the data fields for that icon.
  4. Insert a data field in one of two ways:
    • Select and drag the data field onto the Form Design window and release the mouse button when you have positioned the data field where you want it placed. If you want to adjust its position on the form, select and drag it again.
    • Select an item in the list, and then select Add.
  5. Use any of the following options to design the fields:
    • To select more than one field, select the Shift key while you select the fields.
    • To align multiple fields, select the fields. Then, right-click on one of the fields and choose Align, then Left, Right, Top, or Bottom.
    • To align text inside a data field, right-click the field, then select Alignment, then Left, Right, or Center.
    • To move multiple data fields, select the fields, then select the LEFT or RIGHT arrow keys on your keyboard.
    • You can enter static text (free text that you enter that is not part of a data field) as a title or as field labels. You can line up (left align) static text next to vertical guide lines. To add guide lines, point to the right end of the bar below the horizontal ruler.

      When the pointer changes to , drag the split bar to the position you want.

    • If you choose the Font option from the menu, you can designate a change of fonts for one or multiple fields. If you select the button, you can set the font type for free text entered in the form. To set font type for data fields, right-click on the data field, select Font, and then select the data field you want to change.

      Free TextOnly the free text entered in the template. (It does not alter the font of data fields.)
      Highlighted Data FieldsOnly the selected data fields.
  6. If necessary, modify the template properties.
  7. Select the icon.
    The Save Form Template window opens.
  8. Enter the template name, and then select OK.
