Alerts Options - Practice Preferences

Chart Alerts

The following options determine when users see Chart Alerts in NextGen® Enterprise PM.

AccountChart alerts when users access the Account Profile window for the guarantor.

EncounterChart alerts when users open an encounter for the patient.

System

The System options under Chart Alerts display system-generated alerts with chart alerts.

Field NameDescription
ExpiredAlerts indicating a patient is marked as expired on the People Maintenance window.
Co-managedAlerts indicating a patient is marked as co-managed on the Chart Details window.
Unapplied PmtsAlerts indicating there are unapplied payments for the patient.
Reference Scheduling System AlertsThose alerts selected in the Appointment Scheduling section along with the alerts selected in the Chart Alerts > System section.
After Care DaysAlerts indicating a patient is charged for a service item with an after-care period attached to it.
Pending EHR ChargesAn alert that appears when a user opens an encounter in NextGen® Enterprise PM that has pending charges from NextGen® Enterprise EHR.
Privacy NoticeAn alert that appears each time a user accesses the chart of a patient who is not issued a Privacy Notice. (Only one of the following options can be selected at a time: Issued or Received.)

Issued - this check box is enabled by default when the Privacy Notice check box is selected. An alert is issued based on the Privacy Notice Issued to Patient selection on the Patient Information Privacy tab.

Received - this check box is not selected by default when the Privacy Notice check box is selected. The alert is based on the Privacy Notice Issued to Patient selection on the Patient Information > Privacy tab.

Days Ago - allows you to enter a number to alert the user when the date issued or received is greater than the defined number of days from today.

Patient BalanceAn alert with the patient balances for each practice that a user has access to.

This check box displays only when the Enable enterprise patient balance alerts check box is selected in Enterprise Preferences > General.

Open CasesAn alert that lists all open cases on the patient's chart. The list includes the case description, case employer, onset date and case status (Active or Inactive) so that the user can identify exactly which cases exist.

Account Alerts

The Account Alerts options display customized account alerts.

Field NamesDescription
AccountAlerts that appear when accessing the patient's account.
Responsible ChartAccount alerts pertaining to the guarantor responsible for the patient, whose chart is accessed.
Responsible EncounterAccount alerts pertaining to the guarantor responsible for the encounter that is being accessed.
TaskAccount alerts when accessing a task.

System

The System options under Account Alerts display system-generated alerts with Account Alerts.

Field NamesDescription
Bad DebtAlerts indicating an account has an encounter in Bad Debt status.
OutsourcingAlerts indicating the date that a SIM is outsourced to a collection agency. The outsourcing alert appears only when there is an amount in the patient bucket.
Unapplied Payments Alerts indicating there are unapplied payments for the patient.

Authorization Alerts

The Authorization Alerts options display system-generated alerts when the patient's authorizations reach a specified threshold and that the patient will soon run out of authorizations. The alerts display as defined when users schedule a patient, check in a patient, attach insurance, and, for unit mode, when they enter procedures in Charge Entry.

Managed Care

The Managed Care options display Contract Edits when accessing the following:

Appointment SchedulingAlerts, regarding contract edits, that appear when the scheduled Event has member SIMS attached or the patient has insurance.
Charge EntryAlerts regarding contract edits on the Charge Posting window.

Appointment Scheduling

The Appointment Scheduling options display system-generated alerts with the following Appointment Scheduling Alerts.

Field NamesDescription
Future AppointmentsNotifies you of future appointments scheduled for the person or patient.
Active Recall Plans Due in Notifies you of active recalls scheduled for the patient.

Use the counter to set the number of days, months, years, or weeks. You can choose the recall period from the list. You can choose Day(s), Week(s), Month(s), or Year(s).

Only those recalls that have a Return Date within the specified number of days are included in the alert for a patient. For example, if set to 180 days, then only those recalls that have a return date less than or equal to 180 days from today are included in the alert for a patient.

Active Wait List ItemsNotifies you of active wait list items for the patient scheduled.
No ShowsNotifies you of the number of no shows within a specified period for the person or patient scheduled.

Use the up/down arrows to select the number of no-show appointments and the number of months that must occur, before the alert displays for a patient.

CancellationsNotifies you of the number of cancellations within a specified period for the person or patient scheduled.

Use the up/down arrows to select the number of cancelled appointments and the number of months that must occur, before the alert displays for a patient.

Payer

The Payer options determine when the payer alert appears. The actual text for the payer alert comes from the Payer Defaults tab of the Add/Modify Payer Information window in the master files.

CheckinThe payer alert that appears during the check-in process for an encounter when the patient has that payer attached.
CheckoutThe payer alert that appears during the checkout process when the patient has that payer attached.

General Option

Field NamesDescription
Show alerts every time a chart, encounter, or account is accessedThe alerts that appear every time a chart, encounter, or account is accessed. The default setting for displaying alerts is one time per session, per practice, which is the first time the patient's chart, encounter, or account is displayed.
