In Charge Entry practice preferences, you can set your preferences on the Charges tab.

Prevent charge rendering physician modifications after practice closing | Prevent users from changing a charge's rendering physician if the charge was created before the closing date. The charge creation date may not be the encounter date. A charge can be added after practice closing, and the rendering does not lock down until the practice closes again. You can add a rendering physician if no rendering physician is entered for the charge. |
Prevent charge referring physician modifications after practice closing | Prevent users from changing the charge's referring provider on an encounter after practice closing. This setting affects only voidable charges.

Prevent charge additional provider modifications after practice closing | To choose this setting, you must select Addl Provider. The Additional Provider field appears in the Charge Posting window. |
Prompt when voiding a charge with transactions | Prompt users when they are voiding a charge with transactions. A warning message appears indicating that they are about to void a charge with associated transactions. The user can choose to continue. If you do not select this option, the normal confirmation message is displayed to the user. |
Allow future charges to be entered | Allow users to enter a service date beyond the system date ("today") in the Charge Posting window. |
Default only primary diagnosis on charges | Set the primary diagnosis for an encounter default to the Charge Posting window. This setting determines how diagnoses default to charges. The primary diagnosis for an encounter is defaulted to the first charge, and the diagnoses for subsequent charges for that encounter default from the previous charge. If this option is not selected, the top four diagnoses for an encounter are defaulted to the first charge. The diagnoses for subsequent charges for that encounter default from the previous charge. |
Do not allow free text referring provider | Prevent users from entering a provider name in an applicable field. Instead, users must choose the provider from a list set up in the System Master Files for providers. |
Prompt to flag charge for rebill | Prompt users to manually flag the charge for rebilling. If you do not select this option, the charge is automatically flagged for rebilling. Rebill Encounter in the Balance Control window in NextGen® Enterprise PM is automatically selected. |
Allow auto adjustment when charge amt overridden | Adjust automatically when a user creates a charge that is set up for automatic adjustment and then overrides the price. |
Additional Provider (and field caption) | Allow users to add an additional provider at the charge level for reporting purposes. The Additional Provider field is commonly used for a physician assistant, midwife, or nurse practitioner within the practice. First, select this checkbox to add a field to the Charge Posting window so that users can add a provider. Then, the default caption for the added field in the Charge Posting window is Mid-level. To change the field caption to best represent the additional providers in your practice, enter another name in the Addl prov field. Finally, select one of the following to determine the type of providers that users can select for the field: Practice renderings: show the additional providers that are set up as rendering physicians in the current practice. All providers: show all providers that are listed in the provider master file. |
Maximum extended charge amount | Set a maximum charge amount in the associated field to prevent users from manually entering a line item charge in NextGen® Enterprise PM Charge Posting that is higher than that amount. |
EHR manual charge processing | Hold the charges sent from NextGen® Enterprise EHR until the biller processes them in the NextGen® Enterprise PM Charge Entry window. This option also facilitates the generation of reports from the reconciliation process. If you select this checkbox, you must also select the EHR manual charge processing checkbox in . If both the Enterprise and Practice Preferences EHR manual charge processing checkboxes are selected when you open the Charge Entry window in NextGen® Enterprise PM, a message prompts you to accept the charges that were added in NextGen® Enterprise EHR. If you select Yes, all the charges are loaded from the Charge Holding Tank into the NextGen® Enterprise PM Charge Posting Entry window. If you select No, the charges are removed, and no further prompts occur. This checkbox also determines how unapplied encounter credits are applied. |
External manual charge processing | Hold charges in the Charge Holding Tank that were sent from third-party applications through the HL7 Interface. The charges are held until the user processes them in the NextGen® Enterprise PM Charge Entry window. This option also allows you to generate reports from the reconciliation process. If you select this checkbox, you must also select the External manual charge processing checkbox in . |
Charge Holding Tank Processing Order | Sets the code range rules that determine the order that incoming NextGen® Enterprise EHR and external (HL7) charges are processed by NextGen® Enterprise PM. The NextGen® Enterprise EHR charges listed in the Process Pending Charges window are ordered first by encounter number and then by the sequence rules set up here. Incoming charges from an interface that go into the holding tank are processed in the order set up here when you accept them. |
Display tooth, surface, quadrant | Display the dental-related fields (Tooth, Surface, Quadrants) in the Charge Entry window when users enter charges. |
Display referring providers | Display the referring providers in NextGen® Enterprise PM Charge Posting. This field can be used in conjunction with the Prevent charge referring physician modifications after practice closing field described earlier in this table. NextGen® Enterprise PM displays referring providers for charges received from other applications only when the Display referring providers option is selected. |
Allow multiple tooth surfaces | Allow the selection of more than one surface for a single tooth in the Charge Entry window. |
Display batch information | Display the Batch Info field in the Charge Posting window so that users can enter information used for batch charge entry. |
Differentiate Risk Adjusted diagnoses | Displays the Risk Adjust Indicator in the Add/Modify ICD Code Information window. Then, set the Risk Adjustment Indicator. |
Overwrite NextGen® Enterprise PM narrative with NextGen® Enterprise EHR notes | Overwrites the NextGen® Enterprise PM narrative, including the SIM narrative if one exists, with the notes from NextGen® Enterprise EHR so the information can be used on claims during charge creation. |
Default place of service from previous charge | When a user changes the place of service for a new or existing charge, the place of service becomes the default used for subsequent charges during a charge posting session only for the current encounter.
If this checkbox is cleared, then the default place of service from the service item library is used. |
Derive place of service from encounter facility | While a user enters the charges in NextGen® Enterprise PM during charge entry, the place of service is determined by the Facility field on the tab instead of the Service Location field. If the checkbox is cleared, then the Service Location field is used. |
Remove charge diagnoses when voiding a charge | Remove all diagnoses attached to a charge when the charge is made void. |
Enable discounts in charge entry | Turns on charge discounts functionality from the Charge Posting window.

Apply patient discount to patient balance only | Calculate patient discounts based on the Patient Amount on the charge, not the Original Charge Amount. If this checkbox is not selected, patient discounts are calculated based on the Original Charge Amount, not the Patient Amount on the charge. Payer discounts are always calculated based on the Original Charge Amount regardless of this setting. |
Calculate extended amount on overridden charges | Recalculate the Extended amount when the charge Quantity is greater than 1 and an Override price is entered. For example, if Quantity = 2 and Override price = $50.00, then Extended amount = $100.00 When this checkbox is not selected, if the charge Quantity is greater than 1 and an Override price is entered, the Extended amount is not recalculated. For example, if Quantity = 2 and Override price = $50.00, then Extended amount = $50.00. |
Maximum number of encounters to show in encounter list | Take the entered number of the most recent encounters to list in the Encounter list in Charge Posting. If you enter zero, all patient encounters are listed. |
Single base unit Anes. Charge per encounter | Save anesthesia base units only on the first charge line. If not, anesthesia base units appear on each charge line. For correct billing and claims when using the Anesthesia Library, this option must be selected. |
