The following table describes the fields in Appt Scheduling Practice Preferences
When Scheduling Appointments
Field | Description |

Do not allow checkin of future appts | Select this check box to prevent users from checking in patients and creating encounters for future dates from the Appointment Book or Appointment List (in the Appointment Lookup window). Future date is defined as a date that occurs after today's date. |
Do not allow checkin of cancelled appts | Select this check box to prevent users from checking in patients and creating encounters for cancelled appointments from the Appointment List (in the Appointment Lookup window). |
Do not allow unlinked patient appts | Select this check box to ensure that all appointments are linked to a patient, who is already in the system. This will disable the right side of the Add Appointment window and the user will not be able to make an appointment without finding a patient through Patient Lookup.

Default rendering phys from patient PCP if resource is not linked | Select this check box to use the Primary Care Provider from the Patient Information window as the Rendering Physician on new appointments scheduled for a resource that does not have a linked physician.

Default referring phys from rendering phys | Select this check box if you want the rendering physician selected on the Add/Edit Appointment window to be used as the default for the referring physician. |
Enable overriding of conflicts with secured login | Select this check box to enable users with the appropriate rights to bypass scheduling conflicts by entering a user name and password. |
Check for conflicting appointments | Select this check box to display a warning message when scheduling an appointment at a time where an appointment is already scheduled for that resource. |
Check for conflicting categories | Select this check box to display a warning message when scheduling an appointment in a category time that does not specify the event as a member of the category. For more information about category setup, please refer to Categories tab in the Scheduling System Administrator section. |
Track retained appointments | Select this check box to flag any retained appointments and display them in the patient's appointment history. A "retained" appointment is one that has been scheduled and is related to an appointment that was cancelled or no-show. |

Track rescheduling reason | Select this check box to require entering the reason for rescheduling an appointment in the window that displays from the Edit Appointment window. |
Pull details from event details | Select this check box to automatically display the details (as defined on the Event Add/Edit window) on the Add/Edit Appointment window each time the event is scheduled. |
Print multiple fee tickets for linked appts | Select this check box to print fee tickets for all linked appointments. When a user attempts to print a fee ticket for an appointment that is linked to other appointments, all fee tickets print. |
Do not allow free text referring physicians | Select this check box to prevent users from typing in a physician name in an applicable field. Instead, users must choose the provider from a list. The list they use is set up in the System Master Files for Providers. |
Lock appointment slot | Select this check box to display an indicator to users when a time slot is in the process of being scheduled by another user. This can help to avoid instances of a single time slot being scheduled by multiple users at the same time, resulting in over-booking. For example, either from the Appointment Book or the Appointment Search Ahead window, you select the 10:00 time slot on 1/22 for Dr. Smith. As soon as you select an event for the appointment, all other users in the Appointment Book see the event name in that same time slot. This indicates the time slot is already taken by another user and is in the process of being scheduled. If other users are scheduling from the Appointment Search Ahead window, your time slot does not display in their list of available time slots. Users should always select the Refresh button on the Appointment Book toolbar prior to selecting a time slot. This ensures they see all time slots already booked, and the event name in time slots in the process of being booked.

Perform a medical necessity check | Select this check box to perform a real-time Medical Necessity check in NextGen® Enterprise PM when an appointment is scheduled. The check compares the CPT4 on the event to the ICD code on the appointment to determine if the procedure is medically necessary based on the diagnosis. A Pass/Fail result is returned.
On the Practice Preferences General tab: "Medical Necessity State" must be selected. On the Othersub tab of the tab: The "Enable medical necessity check at appointment" check box must enabled for specific payers. Scheduling Admin on the Events tab: The event must have a SIM code linked on the SIMs tab. Add Appointment on Ins/Diag tab: 1) The patient must have an insurance that is setup to enable medical necessity checks; 2) The appointment must have an ICD code linked in the ICD-CM section of the tab. |
Show Guidelines due in <n> days | Select this check box to display the Guidelines tab on the Add/Edit Appointment window. The tab displays orderable protocols for the patient that are due within the specified number of days. The information pulls from the Care Guidelines in the patient’s chart in NextGen® Enterprise and can be useful when scheduling an appointment for a patient that is due to have a specific test/procedure performed. Use the up/down arrows to select a number of days. Only those Care Guidelines that have a Due Date within the specified number of days are included on the Guidelines tab. For example, if set to 180 days, then only care guidelines that have a due date less than or equal to 180 days from today are displayed. |
Enable Group Scheduling | Select this check box to enable Patient Groups, Group Scheduling, and Group Encounters functionality in NextGen® Enterprise PM.

Default Time Interval | Select the interval to be used as the default time interval when creating new Resources, Event/Resource Duration Overrides, and Templates in Scheduling Administration. Select one of the following:
The interval selected here defaults to the Time Interval field on the Add Resource window, the Duration field on the Add Event/Resource Duration Override window, and the Time Interval field on the Add Template window. The default interval can be overridden for specific Resources and Templates if the Allow interval overrides check box is selected below. The default interval can always be overriden for Event/Resource Duration Overrides, regardless of the Allow interval overrides setting. |
Allow interval overrides | Select this check box to enable the ability to override the Default Time Interval for specific Resources and Templates in Scheduling Administration.

Default Start Time | Select the default value for the standard start time when using Appointment Search Ahead to find available appointments. |
Default End Time | Select a default value for the standard end time when using Appointment Search Ahead to find available appointments. |
Default Appt Reminder | Enter the default letter for standard appointment reminders to be printed. This field may be overridden when running reminders. |
Days in advance of scheduled date to print reminders | Enter the default value for the number of days prior to scheduled appointment dates for reminders to be printed and, for NextGen® PxP Portal patients, electronically sent. |
Enable appt reminders from Patient Portal | Select this check box to send electronic appointment reminder letters to the patient's NextGen® PxP Portal inbox when the patient is enrolled in NextGen® PxP Portal. The patient receives the electronic letter in addition to the paper copy. This check box displays only if the practice has rendering providers who are licensed for NextGen® PxP Portal. |

Allow appt create on uncategorized time for search ahead | Because future appointment dates may not have assigned categories until templates are assigned to them, you can select this option to allow users to schedule appointments at uncategorized times (within the start and end times set up in Search Ahead window. | preferences) when they are using the
Prompt to defer sched admin changes until nightly process | Select this option to defer scheduling administration changes until the nightly process. Depending on your setup, changes to scheduling administration can take some time because the process requires that changes are made to the appointment search engine. Because this process occurs in real time and takes place during business hours, making such a change can take several minutes and could impact users who are currently scheduling appointments. You could even experience performance-related problems. |
Allow multi location selections | Select this option to specify whether to allow multiple locations to be searched in Appointment Search Ahead in NextGen® Enterprise PM. If the option is checked, then you can select more than one location to search on in the Service Locations drop-down list on the Appointment Search Ahead window. If the check box is not selected, then only one location can be selected to search on at one time. |
Enable nearest location srch | Select this check box to enable the distance criteria on the Appointment Search Ahead window. The criteria restricts the search to locations near a specific ZIP Code. |
Enable Enterprise Appointment Scheduling | Select this option to enable Enterprise Appointment Scheduling in the Scheduling Admin menu options in NextGen® Enterprise PM. If you select this option for all the practices for which you have login access, you can schedule appointments across those practices without logging in and logging out for each practice. |

Required on link appt | Select in the column to the right of a field to add or remove the green check mark. Green check mark indicates fields that are required when users create or modify patient appointments. The following fields can be set as required.
The following UDS fields can be set as required if enabled in Enterprise Preferences on the UDS tab.

Appointment Scheduling User Defined
Field | Description |

Label | In the Label column, enter a name for each text and master list type of appointment user-defined field as needed. The text type field labels display on the Appointment details User-Defined section of the Add/Edit Appointment window in NextGen® Enterprise PM. The text type fields display as text boxes and the list type fields display as lists. The items in the list come from the master lists. The User-defined 2 field can be used for automatic outguide printing with Chart Tracking. For more information, refer to the File Maintenance Master Files Guide for NextGen Enterprise. Tooltip tab in the Appointment Scheduling Preferences window in NextGen® Enterprise PM. Tooltip tab in the Default User Preferences - Appointment Scheduling Preferences window in File Maintenance. Appointments Listing report in NextGen® Enterprise PM. If you enter a name for a Master List Type, File Maintenance automatically creates a master list with that name.
