Append Documents After Acquiring Documents and Images from a Scanner

Before you begin Set your scanner color settings to 200 dpi and to black and white. After you scan a document as part of the Scan & File process or as a batch, you can append the document. Appending a document involves adding more pages to the document you have just scanned. You can append documents both before and after you post them. In the scanner, place the document or image you want to scan. Open NextGen® Document Management. On the toolbar, select Scan & File to open the Batch Information window. Enter a description for the batch of documents or images you are about to acquire. You can leave the default description as QuickScan if you prefer. To assign the acquired batch to a user, select the user name from the Secured to User list. You can secure the batch to up to 5000 users. When you secure a batch to a user, no other user with the same level of security privileges can access the batch. Connect a Scanner

You can use NextGen® Document Management with any TWAIN-compliant scanner or imaging device. Note: NextGen® Document Management does not support network-based scanners or scanners that save images on network drives instead of on the local disk. If you use a network-based scanner, you must save images in the TIFF (.tif) format. Install the TWAIN driver for the scanner or an imaging device on the computer where NextGen® Document Management is installed. Note: You can download the TWAIN driver from the scanner manufacturer's website. Connect a cable from the scanner to a USB, SCSI, or parallel port on the NextGen® Document Management computer. Note: You must use the fastest connection to connect the scanner to the computer. With a faster connection, you can scan large images such as X-rays. A USB or SCSI connection increases the scanning speed, but a parallel port connection reduces the scanning speed. You can now use the scanner with NextGen® Document Management. Configure Scan Templates

You can create templates with pre-configured TWAIN settings that you can apply to a batch when you scan documents. The template adjusts the TWAIN interface settings that control the scanner. Open File Maintenance. Under System in Master Files, select Document Management, and then select Scan Templates. The Scan Templates List window opens. Select the open menu button, and then select New. The Scan Control window opens. Enter a short description that indicates the type of scanning template you want to create. Select the number of dots per inch (DPI) to apply to the scanned images. Note: Higher resolutions slow down the scanning process and increase the size of scanned images. Select the color mode to apply to the scanned images. You can select Gray Scale to reduce image size and increase scanned image quality. NextGen® Document Management Terminology

Term Definition Image acquisition device A device that acquires images using the TWAIN protocol, such as a scanner. Image An item containing visual information such as an X-ray. Document An item containing text. When you scan an item and store it in NextGen® Document Management, the item becomes an image. All the items that you can search, view, and manipulate with NextGen® Document Management are technically images. Some are images of documents, while others are images of images. TWAIN A standard software protocol and applications programming interface (API) that regulates communication between software applications and image acquisition devices. Remote scanning An ability to operate a separate NextGen® Document Management at a remote location that uses the main image archive, located at the primary location. This process minimizes the network congestion due to image data. Transfer interval A period of time permitted to pass between the transference of segments of an image to or from

Select an Image Acquisition Device

Before you can use NextGen® Document Management to add images to your archive, you must select an input source. In most cases, your input device is a scanner. However, any TWAIN-compliant device that is installed on your system can serve as the input source for NextGen® Document Management. Open NextGen® Document Management. Before using NextGen® Document Management, you must complete the following actions that can be performed in any order: Connect a scanner or an image acquisition device to a computer with the TWAIN driver installed. Configure NextGen® Document Management security rights in System Administrator. Set up the archive location for all images and documents by doing one of the following: If you are licensed to use remote scanning, set up the Imaging Archive Location folder on your network. If you are not licensed to use remote scanning, set up the Network Share Location folder on your network. Note: You must provide full access rights (read, modify, add, and delete) to users for these folders. Configure network impersonation. Create an organization structure for the documents and images. You can set up document fields, document types, and view categories for the organization structure.
