Connect a Scanner

You can use NextGen® Document Management with any TWAIN-compliant scanner or imaging device. Note: NextGen® Document Management does not support network-based scanners or scanners that save images on network drives instead of on the local disk. If you use a network-based scanner, you must save images in the TIFF (.tif) format. Install the TWAIN driver for the scanner or an imaging device on the computer where NextGen® Document Management is installed. Note: You can download the TWAIN driver from the scanner manufacturer's website. Connect a cable from the scanner to a USB, SCSI, or parallel port on the NextGen® Document Management computer. Note: You must use the fastest connection to connect the scanner to the computer. With a faster connection, you can scan large images such as X-rays. A USB or SCSI connection increases the scanning speed, but a parallel port connection reduces the scanning speed. You can now use the scanner with NextGen® Document Management. Configure Scan Templates

You can create templates with pre-configured TWAIN settings that you can apply to a batch when you scan documents. The template adjusts the TWAIN interface settings that control the scanner. Open File Maintenance. Under System in Master Files, select Document Management, and then select Scan Templates. The Scan Templates List window opens. Select the open menu button, and then select New. The Scan Control window opens. Enter a short description that indicates the type of scanning template you want to create. Select the number of dots per inch (DPI) to apply to the scanned images. Note: Higher resolutions slow down the scanning process and increase the size of scanned images. Select the color mode to apply to the scanned images. You can select Gray Scale to reduce image size and increase scanned image quality. Configuring NextGen® Document Management Security

For NextGen® Document Management usage, you can configure the following for security controls: You can restrict users based on the document type. You can use network impersonation to restrict network access to image and document files. Network impersonation is a security process that controls user access to the image and document files stored in the Network Share Location folder. In NextGen® Document Management, you can use the username and password configured in enterprise preferences when you manipulate files in Windows® . You can set up operation rights to NextGen® Document Management imaging and report functions for user groups in System Administrator. You can manage access rights related to the scan templates for the security groups in System Administrator. Note: You must have the Modify permission to access the NextGen® Document Management images. Organizing Documents and Images

Before you start adding documents and images to your repository, you should set up an organization structure to classify each document. By using this structure, you can easily locate documents and images in NextGen® Document Management. You must create your organization structure in the following order in NextGen® Document Management: Fields which are information areas that are used to file and retrieve a document in NextGen® Document Management. Examples of fields are patient and physician name. Document types that refer to the nature of documents or images, such as X-ray, medical record, and progress note. Categories, which are broad classifications, such as radiology and correspondence. Set Up Document Fields You can set up information areas that are used to file and retrieve a document. Configure NextGen® Document Management Enterprise Preferences

Open NextGen® Document Management. On the toolbar, select Admin > Preferences > Enterprise. The Doc Mgmt tab opens in the Enterprise Preferences window. In Maximum Search Results, enter the maximum number of images, ranging from 100 to 3000, to display during a search. To display the chart-level alerts in the viewer when you access a patient image, select the Enable chart level alerts checkbox. To display the search results in categories when you search for images in NextGen® Document Management, select the Use Categories in Search Results checkbox. Note: When NextGen® Document Management displays categories in the search results, you can select only individual documents for printing or exporting from the search results list. You must open the documents in the viewer to print or export them. To prevent the creation of excessively large images, in Maximum Scanner DPI, set a maximum dots-per-inch (DPI) value. Configure Your NextGen® Document Management User Preferences

Open NextGen® Document Management. On the toolbar, select Admin, and then select Preferences > User. The Doc Mgmt tab opens in the User Preferences window. In the Filing Options section, set up the default filing options. In the Tasking Options section, select default users for To-Do form tasking, select a default category for To-Do list items for the users, and then apply the current date to the items created for the users' To-Do list. Note: The default users you select in User Preferences are overridden by existing settings for document types. The default NextGen® Enterprise PM and NextGen® Enterprise EHR users or groups selected in the user preferences of NextGen® Document Management takes precedence over the users or groups selected in the Document Type Information window of File Maintenance.
