Aging Analysis by Line Item Report

The Aging Analysis by Line Item report is a line item-based report that shows the total outstanding balance for each charge by aging category.

You can filter the report by Process Date on Filter 1 so that you can retrieve data from any point in time. However, the history of changes to the charge status over time is not stored. Therefore, if using the Process Date filter, select all charge statuses for an accurate report.

If you run the report for balancing totals to other reports, then you must select all Charge Status check boxes on Filter 1 (Bad Debt, Billed, History, Rebill and Unbilled). If you run the report for tracking the total outstanding A/R, then you should select the Billed, Rebill, and Unbilled Charge Status check boxes on Filter 1.

The report has the "drill-down" functionality. Double-click an encounter to access the corresponding Patient Chart directly from the report or double-click an invoice to access the corresponding Account Profile.

To access the report in NextGen® Enterprise PM, select the Reports menu and select Accounts Receivable, then select Aging Analysis, and then select By Line Item.

From the Report Filter window, select the Info button to view the following information about the report:

Logic:
  • This is a charge based report that also has some encounter based columns.
  • Pulls charges based on report filters, and then transactions associated to those charges.
  • Shows each line item balance on a single line.
  • In order for a balance to show, the charge must meet the criteria selected in all filters.
  • Line item balances display under the primary Payer/Financial Class.
  • Rendering and Location pull from the charge line.
Filtering Info:
  • Runs only by Process Date (As Of Date).
  • Aging Dates determine in which aging bucket balances will reside.
  • Encounter Statuses:
    • If running for balancing purposes, include all statuses.
    • If running for A/R purposes, Billed, Unbilled and Rebill.
  • Unless unapplied transactions are excluded, they will always show on the report.
Common Uses:
  • Month end balancing purposes.
  • Work outstanding A/R.
Balances to the Following Reports:
  • Balances to the following reports if all charge statuses are included in Filter1:
    • Monthly Changes in AR.
    • Collections: Insurance Aging Analysis.
    • Collections: Insurance Detail.
    • Collections: Insurance Summary.
    • When running a Bad Debt Only report, you must exclude Unapplied Transactions.
  • AR from a prior period can be recreated to show the appropriate aging and bottom line AR total. However, the responsible party info from that prior period cannot be recreated.
  • Current history status charges will display balances in the patient bucket.
