Change in Accounts Receivable by Encounter or by Line Item Report

The Change in Accounts Receivable reports are summary reports that provide A/R totals for balancing purposes. Totals include the following:
  • Beginning A/R
  • Total Charges
  • Total Adjustments
  • Total Payments
  • Total Refunds
  • Ending A/R

The following calculation is used:

Beginning A/R + Total Charges - Total Adjustments - Total Payments - Total Refunds = Ending A/R

In the sample report below, the From/To dates apply only to the Chg Amt, Adj Amt, Pay Amt, and Ref Amt columns. The Beg A/R includes the total prior to 6/1/99. The Ending A/R is the difference between the Beg A/R and the four columns just mentioned.

To access the reports in NextGen® Enterprise PM, select the Reports menu and select Monthly, then select Changes in A/R, and then select either By Encounter or By Line Item.

The purpose of the Change in Accounts Receivable report is to provide reports to balance the beginning accounts receivable total to the prior month ending accounts receivable amount.

From the Report Filter window, select the Info button to view the following information about the Change in Accounts Receivable by Encounter report:

Logic:
  • This report displays Charges under the Primary Payer/Financial Class.
  • Displays Transaction under the primary payer/financial class on the encounter.
  • This report will show the amount applied to each line item.
  • Pulls all charges entered within a specific time period and all transactions entered within the same time period; but, pulls them separately from each other. Charges are pulled using the date criteria and then all transactions using the same criteria.
Filtering Info:
  • Runs by Process Date only.
  • Pulls all charges entered within a specific time period and all transactions entered within the same time period .
  • Beginning and Ending A/R amounts will include all charge statuses, including History and Bad Debt.
  • Also, this is the only report where the From and To dates work a little different. The Beg AR is pulled by getting everything less than the From Date. The Chg Amt, Pay Amt, Adj Amt and Ref Amt are pulled based on the From and To dates (data that falls greater and equal to the From date, and less than or equal to the To date). The End AR is the sum of all of them. In summary, it is an all to date report.
Common Uses:
  • Month end balancing of Charges, Payments, Adjustments and Refunds.
  • Balancing of the total outstanding (Ending A/R) accounts receivable.
  • Monitor and measure the total changes per month in the overall A/R.
Balances to the Following Reports:
  • Balances to the following reports if you include all statuses when appropriate:
    • Daily Charges.
    • Daily Payments.
    • Daily Adjustments.
    • Daily Refunds.
    • Insurance Aging.
    • Practice Summary.
    • Aging Categories By Encounter.
    • Aging Categories by Line Item.
    • Collections Insurance Detail.
    • Collections Insurance.

From the Report Filter window, select Info to view the following information about the Change in Accounts Receivable by Line Item report:

Logic:
  • This report displays Charges under the Primary Payer/Financial Class.
  • Displays Transaction under the actual payer/financial class chosen on the payment entry screen.
  • This report will show the amount applied to each line item.
  • This report allows for charges to report under the primary payer/financial class on the encounter.
Filtering Info:
  • Runs by Process Date only.
  • Pulls all charges entered within a specific time period and all transactions entered within the same time period.
  • Beginning and Ending A/R amounts will include all charge statuses, including History and Bad Debt.
