Workgroups

Remote scanning in NextGen® Document Management requires that all remote locations, as well as the primary location, be part of a workgroup. A workgroup is simply one or more IP addresses that exist on one end of a router. A workgroup can belong to a different practice or enterprise than the workgroup to which the primary location belongs. You should set up a Workgroup for each range of IP addresses within a physical location. If you do not use the Remote Scanning Network Service with NextGen® Document Management, you can still configure Workgroups so that you can use the Cache location associated with each Workgroup. Provided its IP address is valid, the Workgroup Cache location overrides the Cache location specified in Practice Preferences. Set Up Workgroups Based on IP Addresses

Before you begin Set up remote connections and storage locations. Obtain the starting and ending IP addresses for the workgroup you want to create. You can obtain the IP address information from your network administrator. A workgroup consists of one or more IP addresses that exist on one end of a router. A workgroup can belong to a practice or enterprise that is different from the practice or enterprise associated with the workgroup for the primary location. You should set up a workgroup for each range of IP addresses within a physical location. If you do not use the remote scanning network service with NextGen® Document Management, you can still configure each workgroup to use its associated cache location. Open File Maintenance. In Master Files, select System > Document Management, and then select Storage Locations. The Storage Locations List window opens. Select the open menu button, and then select New. The Storage Location window opens. Storage location window In Storage Name, enter a name for the location. Note: You can specify the function of each storage location when you set up the storage type workgroups. In Storage Type, select the File System option. In File Storage, enter the path of the storage location, or select the open folder button to select the network folder to serve as the storage location. Set Up Remote Connections

The Remote Connections master file enables you to specify the parameters of the network connection between the central NextGen® Document Management installation and remote NextGen® Document Management locations. To add or modify a remote connection: From the Master Files > System list, select Remote Connections. The Remote Connections List window displays. Do one of the following: To add a new item, select Open Menu , and then select New. To modify an existing item, select the item in the list, select Open Menu , and then select Open. You can also double-click to open the item. The Remote Connection Configuration window displays. Enter information in the following fields: Field Description Remote Connection Name Enter a name for the remote connection. This is a required field. Block Size Specify the block size, in number of KB, to use for each transfer. For example, a block size of 4 means the file will transfer 4096 bytes at a time. This is a required field. Before using NextGen® Document Management, you must complete the following actions that can be performed in any order: Connect a scanner or an image acquisition device to a computer with the TWAIN driver installed. Configure NextGen® Document Management security rights in System Administrator. Set up the archive location for all images and documents by doing one of the following: If you are licensed to use remote scanning, set up the Imaging Archive Location folder on your network. If you are not licensed to use remote scanning, set up the Network Share Location folder on your network.
