Set Up Workgroups Based on IP Addresses

Before you begin

  • Set up remote connections and storage locations.
  • Obtain the starting and ending IP addresses for the workgroup you want to create. You can obtain the IP address information from your network administrator.

A workgroup consists of one or more IP addresses that exist on one end of a router. A workgroup can belong to a practice or enterprise that is different from the practice or enterprise associated with the workgroup for the primary location. You should set up a workgroup for each range of IP addresses within a physical location.

If you do not use the remote scanning network service with NextGen® Document Management, you can still configure each workgroup to use its associated cache location. If the IP address is valid, the workgroup cache location overrides the cache location specified in Practice Preferences.

  1. Open File Maintenance.
  2. In Master Files, select System > Workgroups.
    The Workgroups List window opens.
  3. Select the open menu button, and then select New.
    The Workgroup Configuration window opens.
  4. Enter the workgroup name, and then select storage locations.
  5. In Scan To Location, select the original location where the scanned images are sent.
  6. In File From Location, select the location where the scanned images are filed.
  7. In Cache Location, select the local location where images are stored for quick access.

    When you specify a storage location as the cache location, the the system searches the cache for the requested remote images to improve image access time.

  8. In Remote Connection, select a connection setting for the workgroup.
  9. In Max. Active Transfer rate, set the number of files that can be transferred from the remote location to the practice archive at one time.
  10. Enter the sleep interval as 60.

    The sleep interval controls how much time passes between the completed transfer of one image and the start of another image being transferred. The sleep interval differs from the transfer interval you specify for remote connections.

  11. Enter the IP address or range of IP addresses that apply to the workgroup as follows:
    • If the workgroup contains only a single IP address, enter that IP address in Starting IP Address.
    • If the workgroup contains multiple IP addresses, enter the lowest numbered IP address in Starting IP Address and the highest numbered IP address in Ending IP Address.
  12. Select OK.
