Setting Up Storage Locations

A storage location is a folder on your network that holds the scanned images and documents you generate when you use NextGen® Document Management. The setup for the storage locations must exist in File Maintenance before you can assign any of them to serve as either a permanent or temporary archive or a cache for scanned images. If you are using NextGen® Document Management for a single location, then you can create only one network storage location to serve as the permanent network share location for all scanned images.

Having multiple storage locations is useful when you are licensed for remote scan and have several NextGen® Document Management installations at remote locations. In addition to the storage location that serves as the image archive location for the primary location, you can use the other storage locations to serve as the temporary archives for the remote locations. If you are not licensed for remote scan, you can still set up multiple storage locations to serve your lone installation.

The number of storage locations required for your practice depends on the number of remote locations using NextGen® Document Management and the manner you want scanned images at the remote locations to be stored, transferred, and cached. For example, each location can have separate storage locations for the Scan To Location, File From Location, and Cache Location functions, or you can use a single storage location for all three functions. The purpose of the Scan To Location and File From Location is to accommodate situations where a practice has a centralized medical records system. In this case, each remote site can scan documents, but is not permitted to file them. Only the central medical records office can file the scanned documents.

To employ workgroup configuration, you must first set up the storage locations and then assign the functions in File Maintenance. You can assign each storage location to only one workgroup.

You can give each storage location a name of your choosing. The name of the Scan To Location, for example, need not be Scan To, but its function remains the same. Each storage location must be accessible across your network from the main location's server.

For example, Practice X has a main site in New York and remote sites in Boston and Chicago. The New York main site is set up as the Main Archive Location. The Boston remote site is set up as location, Boston Scan To and Boston File From. The Chicago remote site is set up as location, Chicago Scan To and Chicago File From. If the staff at each remote site perform both scanning and filing at that site, the Scan To and File From locations can be the same.

You can configure storage locations to store images in one of the following:

  • The network file system
  • A database
