Charge Entry Operation

Apply Charge Discount	NextGen® Enterprise PM	Enables users to access the Charge Discount screen from Charge Entry.
Charge Price Override	NextGen® Enterprise PM	Enables users to override (change) the fee for a procedure when they enter charges regardless of the amount. Note: You can prevent overrides for a specific service item by selecting the Prevent charge amount overrides check box on the Service Items Library Maintenance window > General tab regardless of the permission set for either of the Charge Price Override security rights.
Charge Price Override - $0 Charges Only	NextGen® Enterprise PM	Enables users to override only those charges that have a zero dollar amount. Users who can override only zero amounts can only update the Charge Price, UD Price 1, and UD Price 2 fields if they are $0.00. When users are restricted to only $0.00 amounts and the charge Process Date has been set in Charge Posting, the amounts in the UD Price 1 and UD Price 2 fields become disabled. The users will need to void and re-enter the charges to correct a $0.00 amount. Once users enter values other than zero in the UD Price 1 and UD Price 2 fields, the fields no longer display in Charge Entry. Note: You can prevent overrides for a specific service item by selecting the Prevent charge amount overrides check box on the Service Items Library Maintenance window > General tab regardless of the permission set for either of the Charge Price Override security rights.
Charge Process Date Override	NextGen® Enterprise PM	Enables users to override the current process date on specific charges – enables users to control the charges that are included in the closing process for a specific period.
Custom Dunning Messages	NextGen® Enterprise PM	Enables users to add custom dunning messages when they are entering charges.
Override Charge Entry Contract Edits	NextGen® Enterprise PM	Enables users to override edits and warnings related to a contract during charge entry.
Pending Charges	NextGen® Enterprise PM	Enables users to access the File > Processes > Pending Charges menu item so they can review and process charges coming from NextGen® Enterprise in batch mode.
Void Charge	NextGen® Enterprise PM	Enables users to use the Void button on the Charge Posting window to void a processed charge.

Security for Process Date Override

With the appropriate security rights, you can override (backdate) the Process Date for charges and transactions so that they appear on reports for the desired financial period. Month end and other reports printed for financial management purposes are typically run using a Process Date range. Only users with access rights to the following options in System Administrator can override the Process Date for charges and transactions. Operations > Transactions > Batch Process Date Override Yes: Users can access the Process Date field on the transaction Batch Maintenance window and they can enter an override process date for batches as needed. Transactions within the batch will have a process date equal to the date specified by the user. No: Users cannot access the Process Date field on the transaction Batch Maintenance window. Modifying Charges

Charges that are not processed by Automatic Close or Manual Close can be modified if needed. The following fields can be modified on an unprocessed charge. Service Dates Service Item and Description Modifiers Quantity Price Tooth, Surface, and Quadrant Process Date Diagnoses Rendering Referring Additional Provider Place of Service Narrative Dunning Message Note: You can only modify the Dunning Message when security access rights for Custom Dunning Messages is enabled in the System Administrator. Scheduling Operation

Setting Up Charge Discounts

The Charge Discounts functionality in NextGen® Enterprise PM involves the following setup: Enable discounts for a practice in the Practice Preferences window. flag payers as either contracted or non-contracted for discounts in the Payers window. Create adjustment transaction codes for discounts in the Transaction Codes window. Enable tracking of discounts within a practice in the Significant Events window. Set up user security access rights for discounts in System Administration. Add or Modify Session Settings

Open NextGen® Enterprise PM. Select Tasks, and then select Session Settings. The Session Settings window opens. In Active Batch field select an existing transaction batch or select <Create Quick Batch> to create a transaction batch for the current login session. The selected batch is used as the active batch for all transactions (payments, adjustments, and refunds) you enter during your current login session. In the Service Date field, enter a preset service date for the current login session. The preset date appears in the Billable Date field on the Create Encounter window for all new encounters you create during your current login session. The preset date also appears in the Service Date fields on the Charge Posting window for all charges you enter during your current login session.
