View and Add Patient Insurance and Co-pay Information
Open your Luma Dashboard.
Select
Search
.
In the
Search
window, select the patient; for a new patient, enter the necessary details, and then select the patient entry.
The
Chart
tab opens in the patient window.
To view insurance verification and appointment co-pay details, select
Financial
, and then review information on the appropriate tabs.
To view other insurance details, you can select
View Insurance
from the
Files
section.
To update the insurance details, select the corresponding insurance options menu
icon, select
Edit
, and then update and save the information.
To add insurance details, do the following:
Select
Files
, and then select
Add insurance
.
In the
Insurance Information
window, enter the necessary information.
Select
Set as primary insurance
if needed, and then select
Save
.

Schedule Patient Appointments
Open your Luma Dashboard. To schedule an appointment, do one of the following from the main page: Select Schedule. Select Coordination > Schedule. Select Search, select the patient if available or enter the patient information, and then select the patient. Select Schedule Appointment or Appointments, and then select Schedule Appointment. In the Schedule a new appointment window, verify the patient details, and then select Next. Select the necessary form from the screening question list, and enter the patient information. Select the patient insurance, and then select View Schedule. Select the appropriate time slot, and then select Confirm. Review Patient Insurance Eligibility and Co-pay, and Send Appointment Payment Link to Patients
You can review, add, edit, and save patients' insurance information to NextGen® Enterprise PM. You can also review the co-pay amount and send payment links before the patient's appointment. Before you begin You must do the following: Use the Insurance Writeback integration to automatically update the patient insurance information to NextGen® Enterprise PM. To configure co-pay review, additional charges, and payment sending, contact NextGen Healthcare Support. Open your Luma Dashboard. Do one of the following: Select Schedule. Select Coordination > Schedule. In Schedule, select Table from the Day list next to Filters.The appointments appear in a table. Select the necessary appointment menu "", and then select View appointment Details.You can also open the appointment details panel by selecting the appointment Status, Pt. Payments, Notes, Appt. Create, Review, and Manage Waiting Lists
When a patient cancels an appointment, the application automatically sends appointment offers to patients on the waiting list to fill the available slot. However, you can manually send offers to patients whose waiting list slots match the available appointment. Note: For more information, visit Luma Help Center. Open your Luma Dashboard. Select Coordination > Waitlists. The list of active waiting lists appear. In the Waitlists window, select Add patient to waitlist. In Appointment Information, search for and select a patient, enter the necessary information, and then select Save. To add an outside patient to the waiting list, in Appointment Information, select If your patient isn’t in the system, add them, enter the necessary patient and appointment information, and then select Save. Optional: To add patients to the waiting list from the search, do the following: From the home page, select Search, and then in Search, select View all patients. Add the Appointment Charges and Prior Balance Columns to Your Schedule View
While viewing the schedule, you can review and select the appropriate co-pay and additional charges for the appointment based on the patient's insurance eligibility. You can also view notes and staff review information from the Schedule view. Before you begin You must use NextGen® Pay powered by InstaMed to access the Appt. Charge and Prior Balance columns in the Schedule Table view. If your practice is using the Additional Visit Charge functionality, the Appt. Charge column indicates the total visit payment charged to the patient. Otherwise, the Appt. Charge column displays only the patient's co-pay. The Prior Balance column displays the current outstanding patient balance. You can use the Note field to add important updates or information related to the appointment for future reference. You can view the following appointment statuses in Staff Review: Needs Review: The tasks related to the patient's appointments need your review or action. Pending Arrival: Pre-visit tasks are complete

View and Download Usage Reports in NextGen® Patient Engage powered by Luma
You can view and download the following usage metrics for NextGen® Patient Engage powered by Luma: Number of appointments booked through NextGen® Patient Engage powered by Luma No-show rate Rescheduling metrics Broadcast message deliverability Telehealth appointments Chat conversations You can use filters to view data based on date ranges, facilities, providers, and appointment types. Note: For more information, visit Luma Help Center. Open your Luma Dashboard. Select Insights Center > Reports. To view a specific data report, select Filters, select the filter criteria, and then select Apply Filters. You can lock the reporting filters to avoid reselecting the filters every time. Under Reports, expand and select the necessary section, and then scroll down to the end of the report to select Export. Review and Acknowledge Patient PreCheck Forms
Open your Luma Dashboard. To review precheck forms such as clinical intake, feedback, and consent or policy documents completed by the patient before you join an appointment, scroll down to Action Queue and Patient Activity. The completed forms appear in the corresponding category. To view form details, double-click the necessary form type. To indicate that you acknowledge the form, select the corresponding form, and then select Acknowledge.
