Charges Grid

On the Charges grid, the Description column displays the Visit code (if applicable) and any documented treatments from Single Visit except for DME items. Note: You cannot change any charges on the Fee Sheet. You must make all documentation changes on the appropriate templates and then reopen the Fee Sheet to display the appropriate charges for that encounter. All necessary modifiers are automatically applied to the CPT codes based on the rules set up on the Billing Config system template for the payer attached to the case. If a code is shown as Not Billed, the system will not send that CPT to NextGen® Enterprise PM. A Not Billed designation could be due to the following: The code is prevented for that payer on the Billing Config system template. The code does not have enough time documented based on the configuration for that code. The code was marked as Concurrent on the template. Any code marked as Concurrent will not be billed. Time and Units Fields

The Time column displays the amount of Individual/Billable time documented for the CPT code if applicable. Calc Units displays the total number of allowable units that could be billed based on AMA coding guidelines. Billed Units displays the total number of units allowed based on the configuration settings for the payer attached to the case. Charges grid The Total fields display a total calculation of Time, Calc Units, and Billed Units for all CPT codes within the Charges grid. Total Active Visit Time displays the total time the patient was in the facility (see the Visit Time section in the Single Visit chapter.). The Allowed field shows the number of units that will be billed on today’s encounter. If a code displays as Not Billed, that means the system will not send that CPT to NextGen® Enterprise PM. Record Visit Time Manually

Enter in the total patient’s visit time (in minutes) in the Total Active Visit Time field at the bottom of the template. Note: If you change the Total Active Visit Time on Single Visit template, you must reopen Fee Sheet to ensure correct calculations and documentation for the encounter. Total Visit Time Calculation

Use this section to configure how visit time is recorded for your practice. You can set it up to use buttons that enter start and end timestamps (12-hours or 24-hours), or so that users enter the total visit time manually (Manual Time). If you select 12H or 24H Start - End, a Start Time button and field appear at the top of the Single Visit template, and Start Time and End Time buttons and fields appear at the bottom of the template. Entering Time for Treatments

You can document the unattended and individual time spent with a patient for each applicable code using the fields below each grid on the NTS Treatment template. If an assistant led the therapy for any part of the time, you can indicate that in the Asst Time field. You can enter the time that a therapist spent with the patients in group therapy in the Group Time field and enter the size of the group in the Group Size field. If an assistant led the group therapy for any part of the time, you can indicate that in the Group Asst Time field. Note: The checkbox next to the Asst Time or Group Asst Time fields gets selected if the assistant time is more than the configured % of the total time. If PT/OT students treat the patient under the general supervision of the therapist, you can enter the time in the Total General Supervised Student Time field.
