Reply to Integrated Appointment Requests

Before you begin

For NextGen® Enterprise messages to reach NextGen® PxP Portal, you must ensure the following in Site Generator:
  • Patient Messaging online solution is active
  • Provider's are configured in Administrator Setup/Access
  • Location is configured in Interface Setup

You must also ensure that appointment features are set up correctly in File Maintenance. If your practice has enabled the real-time schedule feature, patients can select an available time slot and book the appointment themselves. For more information on appointment scheduling, go to NextGen Healthcare Success Community and download the Appointment Scheduling User Guide for NextGen® Enterprise PM.

  1. On the main toolbar, select the Inbox button.
    The Workflow window opens.
  2. Select the Patient Portal tab.
    The Communications, Prescriptions, Appointments, and Online Forms folders appear in the left pane. The messages appear in the right pane.
  3. Optional: Select the Patient-Specific View option.
    The count of unread or unsent messages in the Communications, Prescriptions, and Appointments folders refreshes every time you switch between the full view and patient-specific view.
  4. Optional: To filter the messages, select an option from the Display list.
  5. Double-click an appointment request.
  6. Select Schedule Appt.
    The Appointment Search Ahead window opens. Based on the time slot requested by the patient, a list of available times display. If the time and date requested by the patient is not available, you can reply without scheduling an appointment.
  7. Select an event from the list.
  8. In Available Timeslots, double-click a suitable slot.
    To find other available time slots, change the search criteria, and then select Find.
    The Add Appointment window opens.
  9. Optional: Select the Recall/Waitlist tab to add a recall plan.
  10. Select OK.
    The Respond to Patient window opens.
  11. Do one of the following.
    • To book the appointment and add it to a new locked encounter, select Book & Chart.
    • Select the arrow next to Book & Chart and select the desired option from the list.
