Document After Hours Contact Details

You can document the messages left and actions taken when providers are unavailable.

  1. On the Home template, click the Patient Contact link, and select After Hrs from the list.
    The After Hours template opens.

  2. Click the Taken by field.
    Your name is automatically filled in this field, and a list opens for selecting the contact type.
  3. Select how the message was received from the list.
  4. Click the Patient of field, select the patient’s provider from the provider window, and then click OK.
  5. If the communication was with the patient, do the following:
    1. Select Patient for Who.
      The patient's name is automatically filled in the Caller Name field, and a list opens for selecting the phone number type.
    2. Select the phone number type.
      The corresponding phone number is automatically filled in the respective field.
  6. If the communication was with the physician or allied health, do the following:
    1. Select the Physician or Allied Health for Who.
      A window opens for selecting the name.
    2. From the window, select who contacted, and click OK.
      A list opens for selecting the phone number type.
    3. Select the phone number type.
      The corresponding phone number is automatically filled in the respective field.
  7. If the communication was with any other person, do the following:
    1. Select the Other for Who, and select the relationship of the person with the patient from the list.
    2. Type the person's name who contacted in the Caller Name field.
    3. Click the Pt. Phone # field, and select the phone number type from the list.
      The corresponding phone number is automatically filled in the respective field.
  8. Select the appropriate options for problems and actions taken.
    The selected options appear in the Problem Summary and Action Summary fields.
  9. To send the details to the provider or assign a task to the clinical staff, click the corresponding task icon.
  10. Make the desired changes in the following sections.
    • Allergies
    • Medications
    • Orthopedic Surgical History
    • Diagnosis
  11. To sign off as a provider, select the Provider Signed check box.
    The name of the provider and the current date and time are automatically filled in the corresponding fields.
