Manage Administration Codes for COVID-19 Vaccines

You can update administration codes of the COVID-19 vaccines, and make the existing administration codes inactive. On the Immunizations Configuration template, expand the Administration Codes panel. Note: By default, the Active option is selected above the grid. Select the item to be modified from the active codes grid. The fields below the active codes grid are automatically filled with the values, and the Toggle button is enabled. To update the details of the selected administration code, do the following: In the fields below the active codes grid, make the desired changes. Select Update. The changes are updated to the selected administration code in the grid. To deactivate the selected administration code, select Toggle. The selected administration code is made inactive, and is moved to the inactive codes grid. Configuring Administrative Billing Override

You can send secondary immunization administration codes as individual line items to the Procedures module and NextGen® Enterprise PM. On the Immunizations Configuration template, in the Administration Codes panel, you can use the Administrative Billing Override check box to configure secondary immunization administration codes for billing them as individual line items in the Procedures module and NextGen® Enterprise PM. If the Administrative Billing Override check box is selected on the Immunizations Configuration template and more than one vaccine is administered to a patient using the MICS Immunizations template, the charges in the Procedures module and NextGen® Enterprise PM appear with different descriptions for each line item. The following figure shows two different line items for vaccines administered. Add Administration Codes for COVID-19 Vaccines

You can add administration codes for billing the COVID-19 vaccines. On the Immunizations Configuration template, expand the Administration Codes panel. Note: By default, the Active option is selected above the grid. You must use the fields below the active codes grid for adding the COVID-19 administration codes. Select the Code field. The Select Procedure window opens. Note: By default, the procedures are listed based on numeric and alphabetic order of the Description column. In the Select Procedure window, do the following: Enter the search criteria, and select Search. The list is filtered to show only the items that meet the search criteria. Select the desired procedure code from the list, and select OK. The Select Procedure window closes. In the Administration Codes panel, the Code and Description fields below the active codes grid are automatically filled based on the selected procedure. Configuring Immunizations

On the Immunizations Configuration template, you can add immunizations to your inventory. You can use the Immunizations Configuration template to add immunizations to the main inventory. You can also configure the administration codes for billing the COVID-19 vaccines. The First Databank drug database is used for storing immunizations. The following table describes the panels on the Immunizations Configuration template. Panel Description Immunization Inventory Set-up You can use this panel to add, update, and delete immunizations from the immunization grid, and send them to the main inventory. Add Administration Codes for COVID-19 Vaccines

The American Medical Association (AMA) has determined a unique Admin Code for each manufacturer and each dose of vaccines. Open File Maintenance. Under Master Files - System, select Vaccine Admin Billing. The Vaccine Admin Billing List window opens. To create the alternatives to be used when recording the unique administration code for each vaccine, select open menu , and then select New. If your practice is receiving both the Pfizer® and Moderna® vaccines, four administrative codes must be built into this file. Note: When recording administration of the vaccines in the Orders module, the system fills the administrative CPT4® code for COVID-19 vaccine based on the CPT code of the vaccine and sequence of dosage and for vaccines with the Administered status. Note: An alternative option for entering Vaccine Admin codes is to add the CPT code to the vaccine inventory entry. This setup works best if you have different lot numbers for doses. Update Submitted Vaccine Administration Details

You can update the vaccine administration details after they are submitted for billing. If you have the administrative override rights, you can unlock a vaccination record to make changes or document additional information. Note: Administrative override does not remove any charges already submitted, and does not adjust the inventory count; those must be adjusted manually. On the MICS Immunizations template, expand the Immunization Administration panel. Select one of the following options to view the required order in the Immunization Orders grid: Today's Orders Prior Pending Orders Select the required vaccination record. The Admin Override button becomes available. Select Admin Override. A confirmation window appears to confirm the admin override. Select Yes. The Submit button re-appears, and the Admin Override button is replaced with red text that says Admin Override. Select the vaccination record again.
