Access and Update the Spreadsheet
Once the spreadsheet is saved you can access the saved file, open it, and adjust your inventory.
Open the file in MS Excel.
Adjust the quantities by entering the values in the
New Qty
column.
Note:
If there are no changes, leave the
New Qty
column blank. Entering a
0
(zero) adjusts the original quantity to 0 (zero).
Once all adjustments have been made, click
File>Save as
.
Change the
Save as type
field in Text (Tab delimited) (.txt) format.
Save it to the initial file folder.
Note:
Save the file under the folder path: \\[YOURSERVER]\NextGenRoot\MEDicsInventoryReport

This way the system knows where to look for the import.

Export the Inventory
Select the Mass Inventory Update button below the inventory grid. The Import/Export MEDics Inventory template opens. Create an import folder location. Note: We recommend saving this under the NextGen Root and creating a folder called MEDicsInventoryReport, in file path: \\[YOUR SERVER]\NextGenRoot\MEDicsInventoryReport. Enter that file path into the Import Folder Location field. Select the Export Report button. The Enter Parameter Values window opens. It has a list of available locations in the grid on the left and selected locations in the grid on the right. Move the locations for which you want to update the inventory, to the Selected Values grid. To move all locations, click the >> button between the grids To move specific locations, select them in the Available Values grid, and select the > button. To remove all locations from the Selected Values grid, select the Remove All button. To move specific locations from the Selected Values grid, select them and select the Remove button. S

Mass Inventory Update
Use the Mass Inventory Update button to manage complete inventory data through the use of a Microsoft Excel spreadsheet. The main steps in this process are: Export your inventory to an excel spreadsheet. Update medication quantities in the spreadsheet. Import the updated spreadsheet to update the medications quantities in inventory. Note: We recommend that you store the exported reports and files in a location that the database server can access, such as the NextGen EMR folder. This is detailed further in the workflow below. Import Inventory Adjustments
Once all the quantities have been adjusted on the spreadsheet, and it’s been saved to the file folder as a Tab delimited, the inventory can be re-imported to automatically adjust existing quantities. Open the Inventory Management template. Select the Mass Inventory Update button to launch the MLTS inv Imp Exp Config template. Enter the inventory txt file name into the Import Filename field. Select the Load button. The inventory uploads to the grid. Medications with adjusted quantities appear at the top. Update an Adjusted Medication
Once the grid loads with the medication and adjusted quantities, you can update the quantity before sending it to the main inventory grid. Select the medication from the grid. The number in the New Qty column into the New Quantity field below the grid. Change the quantity in the New Quantity field. Select Update. Parent topic: Import Inventory Adjustments

Adjust Medications
You can adjust the quantity of non-vaccine medications in the medication inventory. On the Inventory Management template, expand the Medication Inventory panel. Select the Adjust option below the medication grid. The fields below the medication grid, except the Qty field, are disabled for editing. The Reason for Adjustment field and Adjust Quantity button appear below the medication grid. Filter the medications displayed in the grid for selecting the desired medication. Select the medication to be adjusted from the medication grid. The following fields are automatically filled based on the selected medication. Mass Inventory Update
Use the Mass Inventory Update panel to enable mass inventory updates and configure user rights to perform mass updates. A user with mass update rights can use an excel spreadsheet of inventory, suppliers, and manufacturers to update several medications at one time rather than updating each medication individually. When the Use Mass Inventory Update check box is marked, users who have mass inventory update rights see the Mass Inventory Update check box under the Inventory grid on the Inventory Management template.
