Update NDC Library with COVID-19 Vaccine Details

You can create a National Drug Code (NDC) library or update an existing library to include COVID-19 vaccines. Open File Maintenance. Under Libraries, select NDC. The NDC List window opens. To add codes to an existing library, select a library and select open menu , and then select Open. Note: You can create a Service Item (SIM) library for COVID-19 vaccines by selecting open menu and then selecting New. The NDC List Maintenance window opens. About Medication Update

NextGen® Enterprise EHR receives immunization information from First Databank, a third-party vendor. This content is typically released on a monthly basis, but is accelerated to include the codes of newly approved vaccines, if available. The first monthly package containing COVID-19 vaccine code sets was released in December 2020. New codes that are added in anticipation of potential vaccine availability under Emergency Use Authorization (EUA), are available on the Centers for Disease Control and Prevention (CDC) webpage. Note: To ensure that your system contains the latest COVID-19 vaccine content, go to NextGen Healthcare Success Community, and download the latest Medication Update. Add Administration Codes for COVID-19 Vaccines

The American Medical Association (AMA) has determined a unique Admin Code for each manufacturer and each dose of vaccines. Open File Maintenance. Under Master Files - System, select Vaccine Admin Billing. The Vaccine Admin Billing List window opens. To create the alternatives to be used when recording the unique administration code for each vaccine, select open menu , and then select New. If your practice is receiving both the Pfizer® and Moderna® vaccines, four administrative codes must be built into this file. Note: When recording administration of the vaccines in the Orders module, the system fills the administrative CPT4® code for COVID-19 vaccine based on the CPT code of the vaccine and sequence of dosage and for vaccines with the Administered status. Note: An alternative option for entering Vaccine Admin codes is to add the CPT code to the vaccine inventory entry. This setup works best if you have different lot numbers for doses. Create Inventory Entries for COVID-19 Vaccines

You can add entries for any COVID-19 vaccine stock available to your practice in the Vaccine Inventory List window. Open File Maintenance. Under Master Files - System, select Vaccine Inventory. The Vaccine Inventory List window opens. To create entries for any vaccine stock available to your practice, select open menu , and then select New. The Vaccine Inventory window opens. Find the corresponding COVID-19 vaccine from CDC Vaccine List and enter values in all the required fields. Note: Most details are automatically filled by the First Databank content set, including the manufacturer. Setting up the VIS Documents

You must set up the VIS documents to print or view them when ordering and administering a vaccine. Note: The VIS documents (that is, written in the English language) that are shipped with the NextGen® Enterprise EHR Products upgrade package are already attached to the appropriate vaccines. For information on how to attach additional VIS document to a vaccine, see Attach a VIS Document to a Vaccine Item. You can set up the VIS documents as follows: Create the VIS folder within the NextGen Root directory. Note: After the VIS folder has been created in the NextGen directory, you do not need to re-create this folder for any subsequent system updates. Copy the VIS documents to the VIS folder. After setting up the VIS documents, you can download and attach the VIS documents to specific vaccines, if necessary. Note: You can download additional VIS documents from the CDC website, if necessary. For example, you may need to download updated VIS documents to add the Document Type code. Update the
