Appointment Lookup Search Criteria
The following table describes the fields that are available in the Search Criteria section of the Appointment Lookup window: Field Description Last You must enter the patient's last name. First/Preferred You must enter the patient's first name or preferred name. Middle You must enter the patient's middle name. Suffix You must select the patient's last name suffix. Note: This field appears when you select the Include suffix on lookup screens option in the General tab of the Practice Preferences window. Date of Birth You must enter the patient's birth date in MM/DD/YYYY format. Social Security You must enter the patient's social security number. Description You must enter all or part of the text in the Description field on the Edit Appointment window. Appt Scheduling Practice Preferences Field Descriptions
The following table describes the fields in Appt Scheduling Practice Preferences When Scheduling Appointments Field Description Do not allow checkin of future appts Select this check box to prevent users from checking in patients and creating encounters for future dates from the Appointment Book or Appointment List (in the Appointment Lookup window). Future date is defined as a date that occurs after today's date. Do not allow checkin of cancelled appts Select this check box to prevent users from checking in patients and creating encounters for cancelled appointments from the Appointment List (in the Appointment Lookup window). Do not allow unlinked patient appts Select this check box to ensure that all appointments are linked to a patient, who is already in the system. This will disable the right side of the Add Appointment window and the user will not be able to make an appointment without finding a patient through Patient Lookup. Patient Notifications Practice Preferences
The Patient Notifications practice preferences enables you to setup the type of communication methods used for contacting a patient within your practice. The notification preferences selected on this window, will display on the Demographics tab of the Patient/Person Information window and on various reports. You can change the order of the notification types, select the notification preferences and contact methods, display the Notification field in demographics, make the Notification field required, and automatically select the notification preferences in the Notification field. You can make these notifications specific to a single practice. After you select the check box to make the notifications practice specific, it cannot be reversed. This is a permanent selection. Note: Changes made to notification preferences only apply to new Patient/Person records. Fields on existing records will not be changed. Appointment Lookup Results Settings
The following table describes the columns that are available in the Appointment List section of the Appointment Lookup window: Column Description Auto Size Column You must select this option to automatically resize the selected column to fit the content. Auto Size All Columns You must select this option to automatically resize all the columns in the Appointment List to fit the content. Date/Time Displays the date and time from the Edit Appointment window. Patient Displays the last, first, and middle names of the patient from the Add Patient Information or Update Patient Information window. Select and Sort Columns
You can select and sort columns. Select Columns from the Report Filter Settings List. Report Filter Set up the Columns you wish to display on the report. General Tab
The General tab on the Default Appointment- Scheduling Preferences window enables you to set the default appointment scheduling preferences. The following table describes the fields on the General tab. Field Description Refresh appointments every "X" minutes If there are multiple users scheduling appointments at the same time, you can make the application refresh the appointment book at set intervals by entering the desired number of minutes. The refresh option updates the appointment book with any new appointments, cancellations, and modifications. Default scheduler start time You can enter the time that you want displayed initially at the top of the appointment book views. Default appointment look up date You can select a default date that fills the Appointment Date, Beginning, and Thru fields on the Appointment Lookup window. Set up Patient Selection Preferences
You can set up
Patient Selection
preferences for displaying patient information in the
Patient Lookup
window.
To specify which patients to display in the
Patient Lookup
window, select one of the following from the
View By
list:
Select All
. All of the patients in the system.
Referred By
. Only patients referred by a particular physician.
Provider
. Only patients assigned to a particular provider.
Provider Specialty
. Only patients of a provider with a pre-selected specialty.
By Appointment
. Only patients with appointment on today's date.
By Provider Appointment
. Only patients with appointment to a pre-selected provider
To set the field for the default focus when the
Patient Lookup
window opens, select one of the following from the
Initial Field
preference:
Birth Date
Enc Number
Home Phone
Last Name
Med Rec Nbr
Policy Nbr
Social Sec Nbr
To display all appointments scheduled for the current day regardless of the current time, select the
Show appointments for entire day
check box.
To display only the appointments scheduled from the current hour onward, clear the check box.
Note:
This preference affects only the
Patient Lookup
window.
