Field	Description
Vaccine Billing	Enable or disable a user’s rights to The Vaccine Billing codes.
Vaccine Funding Source	Enable or disable a user’s rights to view, add, update or update delete Funding Source codes.
Vaccine Inventory	Enable or disable a user’s rights to view, add, update, or delete the Vaccine Inventory. To enable a user to generate the Vaccine Inventory Master File report, select the Print permission.
Vaccine Relations	Enable or disable a user’s rights to view, add, update, or delete Vaccine Relationships.
VFC Reasons	Enable or disable a user’s rights to view, add, update, or delete the Vaccine for Children (VFC) reasons.
VIS SetUp	Enable or disable a user’s rights to view, add, update, or delete the VIS documents.

Generating a Vaccine Inventory Master File Report

You can generate and print a Vaccine Inventory Master File report, which enables you to display Vaccine Inventory data for your practice, multiple practices, a specific location within the practice, or all locations. You can display Vaccine Inventory report data according to your practice’s needs, using the following options: Selecting columns (such as Vaccine Name, CPT4 and CVX code, and Expiration Date) Selecting Filters (such as, Practice, Units remaining, and VFC) Sorting data (Such as grouping by Location and Sort Ascending by Vaccine Name) Displaying totals By selecting columns and filters, you can generate reports to obtain data, such as the following: Determine how vaccines are being used for Vaccine for Children (VFC) patients. Adding Immunization Details

You can document the additional immunization details on the MICS Immunizations template. The following table describes the fields used to document the additional immunization details in the Immunization Administration panel on the MICS Immunizations template. Field Description Seq If the vaccine is being administered as part of a sequence, you can click this field, and select the number of the current administration in the vaccine sequence. Note: The Seq field on the MICS Immunizations template is shared with the Sequence field in the Vaccine Details tab on the Immunization module. After setting up the Vaccine Inventory and the VIS documents, determine the Immunizations options for your practice. Set up the Vaccine Inventory for Immunizations

Before you start, run the most recent Medications Update. Set up your practice's Vaccine Inventory. Note: By default, the CPT code is mapped to the Service Item Master code. If your practice uses custom SIM codes, you can map these codes to the appropriate CPT code in File Maintenance > Systems > Vaccine Billing. Before building your vaccine inventory, it is recommended that you map your custom (or alternate) SIM codes, if necessary. Set up specific lot numbers for a component, if necessary. If your practice administers Immunizations to VFC-eligible patients and you have set up custom VFC SIM codes, you must select the VFC SIM code as the default or non-default using the Vaccine Billing option in File Maintenance. If your practice administers Flu Immunizations to patients with Medicare as the payer, you can set up the alternate Medicare Billing codes (Q codes) in the NDC Library to ensure accurate billing. Attach a VIS Document to a Vaccine Item

In File Maintenance, select System > VIS SetUp. The VIS SetUp List window opens. Select the Open Menu button, and then select New. The Add VIS Document window opens. Enter the Vaccine Name. Select the Open Record button and select the VIS document to attach. Enter the required fields (in red font): Publish Date, Description, and Language. Tip: If you intend to add the Document Type, you do not have to manually add the Publish Date. The system defaults it after you add (that is, paste) it in the Document Type field. Refer to Steps 6 to 8. To access the Document Type code, select Lookup. The CDC site displays the Vaccine document types, including the Document Type code (VIS fully-encoded text string number) for each vaccine. Note: The CDC web link default is set up in System Administrator, select View, Universal Preferences, Lab Group, and the VIS Document Type Lookup preference.
