Set Up Rights for Applying Order Preferences Across Practices

When creating or updating order preferences, such as required fields, Vaccine Inventory information or the Vaccine Schedule, users can apply these changes to an individual practice or across practices. These rights are set up in System Administrator > Operations and the default is Yes. If your practice does not need to provide order or vaccine information across all practices, set this option to No. Note: If you set the Apply Order Preferences across Practices rights to No, you cannot select all practices when copying order preferences across practices (such as required fields), setting up the Vaccine Inventory, or updating the Vaccine Schedule in File Maintenance. Open Sysytem Administrator and enter your credentials. Select the practice. Select the user group to whom you want to give Orders module rights. Select the Rights tab. In System Administrator, select the required user group. Open Rights tab. Expand OPERATIONS and then select Apply Order Preferences across Practices. Select Yes under Access Rights. Note: The Access Rights default is Yes. If you set the access rights to No, you cannot select all practices while copying order preferences across practices (such as required fields), setting up the Vaccine Inventory, or updating the Vaccine Schedule in File Maintenance. Set up Required Fields to Display When Creating an Immunizations Order

In File Maintenance, select System > Practices. Double-click to open a Practice and then select Preferences. Select Orders Module, and then select All tab. To set the fields as mandatory when creating a creating an Immunization order, select When creating new Immunization order from the Data Points Context list. Select the Effective Date to indicate what date the field displays the field as required, and select the Open Record button. The Data Points Context window opens. To mark the field as required, highlight the field (or fields), and select the right arrow to move the field to the Included section. For example, highlight Registry and select the right arrow to move it to the Included section. The field appears in the Included section. If required, continue moving any additional fields, and select OK. The field or fields selected as required, display in the Field Name section. In File Maintenance, select System > Practices. Double-click to open a Practice, and then select Preferences. Select Orders Module, and then select All tab. To set the fields as mandatory when administering an Immunization order, select When completing vaccine administration from the Data Points Context list. Select the Effective Date to indicate what date the field displays the field as required, and select the Open Record button. The Data Points Context window opens. To mark the field as required, highlight the field (or fields), and select the right arrow to move the field to the Included section. For example, highlight Route and select the right arrow to move it to the Included section. The field appears in the Included section. Continue moving any additional fields, if necessary, and select OK. The field or fields selected as required, display in the Field Name section. To apply the required fields to all practices, select Apply to all practices, if appropriate, and then select OK

Update the Vaccine Schedule

Access the Immunizations Practice Preferences. In the Vaccine Schedule section, select a vaccine group record, select the Open Menu button, and then select Open. The Update Vaccine Schedule window opens. Update the Start Age and End Age or At Birth check box. Select the Sex. If required, add a note. Select OK. To save the Vaccine Schedule changes for all practices, select the Apply to All Practices check box. Note: You can only select Apply to All Practices, if you have set up the Apply Order Preferences across Practices rights in System Administrator. If these rights are not set up, the Apply to all Practices field is disabled. Select OK at the bottom of the Imm tab. Parent topic: Adding or Updating the Vaccine Schedule

Access the Immunizations Practice Preferences

In File Maintenance, select System > Practices > Preferences. The Practices List window opens. Locate and then double-click your practice. The Modify Practice Information window opens.
