Access the NDC Lookup on the Vaccines Tab
On the Vaccines tab, select the ellipsis next to the NDC ID field.
The NDC Lookup appears.
View the list of NDC values associated with the CPT of the selected vaccine.
If the list does not include the appropriate NDC ID, select
Search
or select
Cancel
to return to the Vaccines tab.
If the appropriate NDC ID displays, select a code from the list and select
OK
.
The new NDC ID displays in the NDC ID field.
On the Vaccines tab, continue entering the appropriate fields for the vaccine you are setting up.

Search for an NDC ID on the NDC Lookup
If the appropriate code does not appear or to display additional codes: Enter other search criteria, such as NDC ID or Description, if necessary. Select Search. Note: Only the NDC ID codes for the current vaccine’s CPT display as default. Select a code from the search results, if applicable. The new NDC ID displays in the NDC ID field. Verifying NDC Details When Setting up Vaccines
A vaccine’s NDC ID and corresponding NDC information is essential for accurate billing. Therefore, to ensure a comprehensive Immunizations billing cycle, users can view the NDC details included in the NDC Library during vaccine set up or when administering Immunizations. To view the NDC details, users can access the NDC Lookup. On the Vaccine Inventory tab, you can access the NDC Lookup to display a vaccine’s NDC ID and corresponding details. If necessary, you can override the NDC ID in the NDC ID field and select another NDC ID from the NDC Lookup. If an NDC ID is not set up in your NDC Library or if you do not have a default NDC Library, a caution indicator displays next to the field. When administering Immunizations in the Immunizations module on the Vaccine Details tab, you also have the option to access the NDC Lookup to verify or override the NDC ID. Enter the Vaccine Information on the Vaccines Tab
On the Vaccines tab, in the Orders Details section, enter the appropriate information for the specific vaccine (for example, Vaccine Name, Available Units). Note: In the Orders Details section, these fields are automatically filled in and cannot be changed: Status, Proc, Procedure Code Description, CVX code, and CVX Vaccine Name. Enter the Vaccine Name (required) for the Vaccine Inventory item. Select the Strength of the vaccine and the Quantity. Select the Route (method) in which the vaccine is administered, such as one of the following: Intramuscular, Oral, Subcutaneous, Nasal (Intranasal), Intravenous, or Intradermal. Note: To ensure the appropriate route displays when administering vaccines, select a route from the list. Your selection can only be one of the six routes displayed. Enter the Brand Name, select the vaccine Manufacturer, and enter the Lot Number, which may be indicated on the package. Display the Vaccine Details and Provide the Immunizations Information
After selecting the vaccines on the Select Vaccines tab, select the Vaccine Details tab. The Create New/Update Immunizations Order for <patient name> window opens (on the Vaccine Details tab). To administer the immunization, select the vaccine from the vaccine list. Select a Registry from the list, if necessary. Select the Lot Number from the list or enter it manually, if necessary. The vaccine data defaults from the Vaccine Inventory, including the NDC ID if it exists. Enter any other information for the selected Immunizations order, for example, if the patient received counseling, (Counseled) or if the Immunizations order requires Consent. If you have provided Immunizations information, the system updates the status to Administered and required fields display as Red. The system also displays the Billing Code and Admin Code for the selected vaccines. For each vaccine in the Vaccine List, select the appropriate Billing Code and Administration Code from the list, if necessary. For examp

Administer a Vaccine not in Inventory
For certain situations, you may need to administer an immunization for a vaccine that may not be in your practice's Vaccine Inventory. For example, a patient has been bitten by a rabid animal. From the Orders module, select Immunization Order from the New Order list. On the Select Vaccines tab, select Search All and search for the specific vaccine. The vaccine displays in the search results. For example, if you searched on rabies, vaccines for rabies appear. Select the appropriate vaccine and select OK, and then view and select an Allergy, if necessary. To administer the Immunization, select the Vaccine Details tab. Enter the Lot Number and NDC ID in the NDC ID field. Note: The caution indicator displays, which indicates the NDC ID for this rabies vaccine is not in the NDC Library. To verify if any NDC entries exist for this vaccine, select the ellipsis to access the NDC Lookup. No NDC ID codes appear for the CPT in the NDC lookup, indicating there is no valid record in the NDC Library

Enter NDC Information for a Charge
When you enter a charge for a HCPCS or CPT4 code that is set up in the NDC Library, NDC Data for this Charge window appears when the charge is saved. NDC Data for this Charge window allows you to entry NDC information for the charge. Depending on the number of existing NDC Ids in the NDC Library for the CPT4 code on the charge, the NDC information can be attached to the charge in the following ways: If only one NDC Id exists for the CPT4 code, then the NDC Id automatically attaches to the charge. If multiple NDC Ids exist for the CPT4 code, then an NDC Id can be manually selected for the charge. If no NDC Id exists for the CPT4 code, then an NDC Id can be manually added on-the-fly for the charge. Note: Hidden NDC IDs, are those that have been deleted from the NDC Library in File Maintenance.
