Send Appointment Through Email

In NextGen® Enterprise PM, if you want someone to modify or delete an appointment, you can attach the appointment to an email and send it to the recipient asking to do the modification so that no important information is missed. You can attach appointments to mail in all views of the Appointment Book window, except for the Monthly view tab. When you send an email with an action request, a copy of the mail is automatically saved in the pending folder. You can always check the pending folder to track the outstanding issues. When the recipient takes action on the appointment through the Edit Appointment button, a confirmation is loaded into the Confirmation field, and automatically sends a confirmation message to the sender. When the sender receives the confirmation message, the email is removed from the sender's pending folder. The message that is stored in the sent folder then has the Confirmation field filled in. Attach an Appointment to an Email

You can attach the appointment to an email and send it to the recipient asking them to complete some action. Open the Appointment Book window. Right-click the appointment and select Attach to Mail. The New Message (Containing linked data) window opens. In the Action Requested field, select one of the following: Cancel Appointment Create Appointment Delete Appointment Other Reschedule Appointment Enter additional information to be included in the email as needed. On the Properties tab set the priority for the message. Select the Read Receipt option if you want to receive a notification when the recipient reads the message. Select the Address button to select the recipients to send the email. The Address Book window opens. Select a practice from the Show Users From list. Use the arrow button to move the recipients from the Available Users and Groups list to the Message Recipients list. Select OK to save changes and close the window. Respond to a NextGen Mail Linked to an Appointment

If another user links an appointment to a NextGen mail message and sends it to you with a pending action, such as a request to reschedule or cancel the appointment, you can send a mail message back to the user with a confirmation response. The confirmation response tells the requesting user that you received the request and have acted on it. An appointment that is attached to a NextGen mail message has a status of Pending and displays in italics text in the Appointment Book. The appointment remains in pending status until the requested action is completed and a confirmation response is sent. From the main toolbar, select the Mailbox button. The NextGen Mailbox window appears. In the NextGen Mail section on the left, select Inbox. Mail messages display in the section on the right. Double-click to open the mail message with Appt Modification Request in the Subject line. The Appt Modification Request window appears. Respond to an Appointment Modification Request Through NextGen Mail

If another user links an appointment to a NextGen mail message and sends it to you with a pending action, such as a request to reschedule or cancel the appointment, you can respond with a confirmation message. This confirmation informs the requesting user that you have received the request and taken the appropriate action. An appointment attached to a NextGen mail message is marked as pending and displayed in italicized text in the Appointment Book. Printing from Appointment Confirmation window

From the Appointment Book, select the resource, date and time slot for the new appointment. Do one of the following: From the appointment toolbar, select the Add Appt button. Right-select on the time slot and select New from the menu. Double-click on the time slot. The Add Appointment window opens. Complete all fields required to complete the new appointment. To save the appointment, Enter OK. Note: The Appointment Confirmation window opens only once, and only if the Show appointment confirmation after scheduling appointment check box is selected in Scheduling User Preferences > General tab. The Appointment Confirmation window opens. Select Print, and then select Appt Reminder from the menu. The Demand Appointment Reminder Letter preview window displays the letter for the appointment. From the main toolbar, select the Mailbox button. The NextGen Mailbox window appears. From the mailbox toolbar, select the New Message button. The New Message window appears. The Message tab displays two recipient fields: To NextGen and To Outlook. The field that is required is the one that is selected as the Default Mail Option in General User Preferences.
