Respond to a NextGen Mail Linked to an Appointment

If another user links an appointment to a NextGen mail message and sends it to you with a pending action, such as a request to reschedule or cancel the appointment, you can send a mail message back to the user with a confirmation response. The confirmation response tells the requesting user that you received the request and have acted on it.

An appointment that is attached to a NextGen mail message has a status of Pending and displays in italics text in the Appointment Book. The appointment remains in pending status until the requested action is completed and a confirmation response is sent.

  1. From the main toolbar, select the Mailbox button.
    The NextGen Mailbox window appears.

  2. In the NextGen Mail section on the left, select Inbox.
    Mail messages display in the section on the right.
  3. Double-click to open the mail message with Appt Modification Request in the Subject line.
    The Appt Modification Request window appears.
  4. In the Confirmation field, select one of the following:
    • Appointment Added
    • Appointment Cancelled
    • Appointment Deleted
    • Appointment Rescheduled
    • No Action Taken
    • Other
  5. Select the Reply to Sender button on the toolbar.
  6. In the body of the message, enter additional free-text information as needed.
  7. To send the confirmation response, Select the Send Message button on the toolbar.
