Active Recall Plan Alerts

A system alert displays to users when a patient with one or more active Recall Plans is accessed in NextGen® Enterprise PM. The alert displays the number of active recall plans, the recall plan name, and the expected return date. If there is more than one active recall plan for the patient, they are numbered within the alert by order of next due date. Note: Alerts display only if the Active Recall Plans Due in nnn Days check box is enabled in Practice Preferences > Alerts. Marking the Patient as Expired

When you select the Expired option on the Modify Patient Information window and enter an Expiration Date for patients that have one or more future appointments and active recall plans, a messages appears stating that the future appointments must be canceled and the to stop the active recall plans for the patient. Note: If you select the system alerts in the Alerts section of the Practice Preferences window, then when you open the Modify Patient Information you get a message with the information on the expired patients with future appointments and active recall plans. Stop Active Recalls and Cancel Future Appointments for an Expired Patient

Use this procedure to do the following: Expire a patient Cancel future appointments and stop active recalls Access the Modify Person/Patient Information Window for the patient that you want to expire. On the Modify Person/Patient Information window, select the Expired check box. The Expired Date field becomes active. In the Expired Date field, enter the date of death for the person/patient. A application message appears, asking if you want to cancel future appointments and stop active recalls. Do one of the following: Select Yes. If Appointment Cancellation Tracking and/or Recall Plan Stop Reason tracking is enabled in Practice Preferences, you will need to select a reason for the appointment cancellation and/or the recall plan stop reason then select OK. Stop Active Recalls for an Expired Patient

Stopping active recalls for an expired patient involves the following steps: Update date of expiry in the patient records Stop Active Recalls Open the Modify Person Information or Modify Patient Information window to update the expired patient data. Select the Expired check box. The Expired Date field becomes active. Enter the Expired Date for the person or patient. Do one of the following the application message that appears asking if you want to stop active recalls: Select Yes. If Recall Plan Stop Reason tracking is enabled in Practice Preferences, the Reason for Stopping Recall application message opens. Select a reason for stopping the plan and select OK. All active recalls are canceled. Select No. The active recalls remain in the system. A message appears asking you to stop active recalls for the expired patients when you open the Modify Person Information or Modify Patient Information window or Chart for the expired patient in NextGen® Enterprise PM. Access the Modify Person/Patient Information Window

Before you cancel future appointments for an expired patient, you need to access the patient/person information window. Select the Lookup icon to access the Modify Patient/Person Information window. The People/Patient Lookup window opens. Enter the search criteria for the desired patient. Then in the Matching Records list, double-click the applicable patient. The Modify Patient/Person Information window opens. When expiring a patient, you can stop active recalls and/or cancel future appointments. Depending on how your practice is setup you may be required to enter a reason for stopping a recall and/or cancelling future appointments. Refer to the following sections for instructions for stopping active recalls and cancelling future appointments.
