Collect a Payment Using Credit Card on File

NextGen® Pay powered by InstaMed enables you to collect electronic payments using a credit card on file. You can use the active credit card for a patient. If the patient has more than one credit card on file, you can use the credit card specified by the patient or payer. Note: You must activate a batch before you process a patient's payment. To open thePayment Entrywindow, do the following: InNextGen® Enterprise PM, clickPosting. TheBatch Postingwindow opens. Right-click a batch and selectActive Batch. Double-click the active batch. Processing Direct NextGen® Pay powered by InstaMed Payments

Patients can make direct payments to the NextGen® Pay powered by InstaMed payment portal for services received. NextGen® Pay powered by InstaMed sends the charges along with any Automatic Payment Collection (APC) charges to the practice in an end-of-day or EOD file. The end-of-day file has a similar format and import process as a patient pay or lockbox file. An end-of-day file is imported using the electronic remittance advice or ERA process that creates automatic batch and transactions entries. End of day files imported into NextGen are matched using the NextGen Practice ID and Encounter Nbr or Account Number. For account level payments the distribution of payment applies to any encounters with a patient balance using the First In, First Out (FIFO) method. If an encounter-level or account-level payment is greater than the patient balance, the overage is applied as an account-level unapplied payment. Collect ECheck Payments With a Check Scanner

You can process an ECheck payment by using a check scanner. When using a check scanner patient information and check information automatically populates on the NextGen® Pay powered by InstaMed web form. Before you can use a check scanner to apply a payment, the following requirements must be met: The check scanner is setup by NextGen® Pay powered by InstaMed on the Portal Configuration page. An Image Safe Check Scanner is attached to the workstation. The user has system administration rights to enter payments. An active batch is set. Refer to Print a Credit Card Receipt for information on printing a credit card receipt. Automatic Payment Collections

The Automatic Payment Collections (APC) feature is an integrated billing collection process you can set up with NextGen® Pay powered by InstaMed. APC enables your practice to bill a patient's credit card or checking account based on the statement cycle set up in Practice Preferences. Your practice can process automatic payment collections on outstanding patient balances after insurance has paid their amount up to agreed upon maximum per statement. Credit Card Reconciliation with NextGen® Pay powered by InstaMed

You can use the vendor website reports to reconcile the vendor transactions against reports run from the application. You can contact NextGen® Pay powered by InstaMed for information on how to run and download report data. NextGen Healthcare does not provide training on the reporting features on the vendor website. Reconcile Transaction Reports You can reconcile credit transactions between your enterprise or practice and NextGen® Pay powered by InstaMed. Reconcile Transaction Reports - NextGen® Pay powered by InstaMed

The NextGen user ID of the person processing the transaction in the application is sent to NextGen® Pay powered by InstaMed for inclusion on their transaction portal. You can export the NextGen® Pay powered by InstaMed report to an Excel spreadsheet and then reconcile the InstaMed report with the Daily Payment report. Running the report using NextGen User ID is helpful in balancing individual batches. Access the NextGen® Pay powered by InstaMed website. Access Reports and then run the applicable report. A report similar to the one below appears on the page. The User column includes the NextGen User ID. To reconcile the NextGen® Pay powered by InstaMed report with the Daily Payment report, export the NextGen® Pay powered by InstaMed report to Excel. Run the Daily Payment report. Then sort the data by one of the following sort sequences for ease of reconciliation: Creator, Location, and Transaction Codes Run with totals only to reconcile balance by Creator and Locations Creator, Location
