Collect a Payment Using Credit Card on File

NextGen® Pay powered by InstaMed enables you to collect electronic payments using a credit card on file. You can use the active credit card for a patient. If the patient has more than one credit card on file, you can use the credit card specified by the patient or payer. Note: You must activate a batch before you process a patient's payment. To open thePayment Entrywindow, do the following: InNextGen® Enterprise PM, clickPosting. TheBatch Postingwindow opens. Right-click a batch and selectActive Batch. Double-click the active batch. Automatic Payment Collections

The Automatic Payment Collections (APC) feature is an integrated billing collection process you can set up with NextGen® Pay powered by InstaMed. APC enables your practice to bill a patient's credit card or checking account based on the statement cycle set up in Practice Preferences. Your practice can process automatic payment collections on outstanding patient balances after insurance has paid their amount up to agreed upon maximum per statement. NextGen® Pay powered by InstaMed sends the charges along with any Automatic Payment Collection (APC) charges to the practice in an end-of-day or EOD file. The end-of-day file has a similar format and import process as a patient pay or lockbox file. An end-of-day file is imported using the electronic remittance advice or ERA process that creates automatic batch and transactions entries. End-of-day files imported into NextGen are matched using the NextGen Practice ID and Encounter Nbr or Account Number. For account-level payments, the distribution of payment applies to any encounters with a patient balance using the First In, First Out (FIFO) method. If an encounter-level or account-level payment is greater than the patient balance, the overage is applied as an account-level unapplied payment. Import the NextGen® Pay powered by InstaMed End of Day file

Before you begin You must setup the end-of-day (EOD) file before importing it. InstaMed sends the end-of-day (EOD) file to NextGen® EDI. This file is uploaded on its portal by NextGen® EDI for it to be downloaded by the practice. Open NextGen® Enterprise PM, and then select File > Processes > ERA Posting. The Import Remittance window opens. Under the Search Criteria section, enter the file or directory information, and then select Import. The EOD file is imported to NextGen® Enterprise PM, and a batch and transactions are created. An import posting report is also created which enables you to view the posted and unposted transactions. Note: The created batch must be balanced and posted. It can then be flagged for posting using NextGen® Background Business Processor. Setting up the NextGen® Pay powered by InstaMed End of Day file Import

Before you begin In File Maintenance, add a default transaction code in File Maintenance > Master Files > System > Transaction Codes. Set up a file directory for importing files in NextGen® Enterprise PM. Complete the following steps for setting up the EOD file import process. Open NextGen® Enterprise PM, and then select Admin > Preference > Practice. The Practice Preferences window opens. Under Preferences List, select Patient Pay and then do the following: In the Patient Pay Import section, select the default transaction code or any other credit card transaction codes. Note: Payments are not posted if you do not select the default transaction code or any other transaction code. The payment appears in Import Posting with Not Posted due to - No Default patient pay transaction code setup description. Select the check boxes for other optional parameters.
