Run the First Third Available Appointment Report

The First Third Available Appointment report has columns and filters that you can use to customize the report data and format. CAUTION: Running the First Third Available Appointment report puts a heavy strain on the database and could reduce the responsiveness in NextGen® Enterprise PM. NextGen Healthcare recommends that you run this report after business hours. Select the Reports > Scheduling > First Third Available. The report filter for the First Third Available Appointment report appears. Select the columns that you want to display in the report. Select Events in the Settings list and then select the Open Record button to access the Events window. Use the blue arrow buttons to move the resources from the Available to the Included list and then select OK. Viewing First Third Available Appointment Report Results

The First Third Available Appointment report shows the number of calendar days until the next third available appointment slot is open - regardless of what day the opening occurs. In the following example, the report displays the next third available appointments for Dr. Smith at the Northside Center. It displays the event, appointment date, and the number of days a patient must wait before they can see Dr. Smith for a new patient pediatric appointment. The days are calculated on calendar days and do not differentiate between weekends or holidays. The next third available new patient pediatric appointment for Dr. Smith is in 28 calendar days. You can use the report results to determine if you need to hire additional provider types or buy additional equipment. If, on average, it takes a patient a month to get in to see a specialist, maybe the practice should hire another one. First Third Available Report

The First Third Available Appointment report helps a practice identify the average number of days a patient must wait to see a resource for a specific type of appointment. The third next available appointment is used instead of the next available appointment because it is a more realistic depiction of how many days a patient would have to wait to see a provider. A measurement of only the next available appointment can easily be changed due to cancelations or other unexpected events. The settings you choose in Practice Preferences and Scheduling Administration determine the next third available appointment for the desired combination of patient, resource, and event. To access the report in NextGen® Enterprise PM, select the Reports menu and select Scheduling and then select First Third Available. Schedule Appointments from Available Timeslots

You can schedule an appointment for a patient from the available time slots on the Enterprise Appointment Search Ahead window. On the Enterprise Appointment Search Ahead window, in the Available Timeslots section, right-click or double-click the desired time slot. If you have multiple resources and service locations from various practices for the selected event, you can select on the filter on the Practice column in the Available Timeslots section. The available time slots for the resources and service location of the selected practice lists. The Book Appointment menu appears. Select Book Appointment. The event, resources, service location, date, and time fields are filled. The Add Appointment window opens. Select the open menu icon, and select Lookup. Appointment Lookup Search Criteria

The following table describes the fields that are available in the Search Criteria section of the Appointment Lookup window: Field Description Last You must enter the patient's last name. First/Preferred You must enter the patient's first name or preferred name. Middle You must enter the patient's middle name. Suffix You must select the patient's last name suffix. Note: This field appears when you select the Include suffix on lookup screens option in the General tab of the Practice Preferences window. Date of Birth You must enter the patient's birth date in MM/DD/YYYY format. Social Security You must enter the patient's social security number.
