The Significant Event Information window has the following options for tracking credit cards on file: Credit Card on File Disabled Credit Card on File Enabled When selected, this information displays on the Significant Event report. Select Admin > Preferences > Significant Event.. The Significant Event Information window opens. Select one or both of these significant events: Credit Card on File Disabled Credit Card on File Enabled Select OK. The purpose of this task is to send a collection letter when the system date is after the card's expiration date and the card is expired. In File Maintenance > Master Files > Task Types on the Task Types List window select the open menu button and select New. The Task Types window opens. Select the Auto Creation tab. Complete the following required fields: Task Type - enter the task type as defined by your organization. Source Type - select Account. In the Activate column, select the Active Credit Card on file will expire in <0> days. Right-click and select Open. The Task Type Options window opens. To select the number of days in advance that you want to be notified when an active credit card expires, select the number in the Parameter 1 field, and then select OK. Select the Auto Worker tab. Complete the following required fields: Task Type - enter the task type as defined by your organization. Source Type - select Account. The following tasks can be activated when processing credit card payments on the Task Types window in file maintenance. On the Auto Creation tab, you can create the active credit card on file will expire in (X) days. On the Auto Complete tab, you can create the Active card on file disabled task completion action. On the Auto Worker tab, you can create the Add collection letter of <unknown> to the account. Send collection letter in next run <Y/N>. You can use the following options for processing credit card payments in NextGen® Pay powered by InstaMed. Create an AutoFlow Option for Credit Card on File Creating Tasks in Maintenance Create a Credit Card Expiration Task Create an AutoFlow Option for Credit Card on File You can add an option in the AutoFlow process for adding the credit card on file information. Creating Tasks in Maintenance You can use the Task Types window in File Maintenance to process credit card payments. Create a Credit Card Expiration Task You can set up a notification for an active card when its close to its expiration on the Task Type List window. Activate the AutoWorker Task You can use the AutoWorker Task to send a collection letter for expired cards. Set Up Significant Events for Credit Cards on File You can track credit cards on file using the Significant Event Information window. NextGen® Pay powered by InstaMed processing provides you with the option to store credit card data in the application using a unique token ID. You can view the saved credit card data for a patient on the Credit Card on File tab of the Account Profile window. A push-pin icon appears on the Credit Card on File tab when the patient has an active credit card on file. In NextGen® Enterprise PM, select Account. The Account Profile window opens. Select the Credit Card on File tab. To add a new credit card, select open menu and then select New. A window opens asking you to choose the method to save the credit card data. Note: If there are existing practice preferences and no user preferences are selected, the payment processing is done as follows: For practices with a single MID- The NextGen® Pay powered by InstaMed web form opens on your default browser and you can enter the credit card number.
