Cancel Group Appointments

When you cancel a group appointment, all associated individual member appointments are also automatically cancelled. A group appointment in a recurring series has a combination of linked and unlinked group appointments. You can determine the group appointment that needs to canceled.

You can also cancel a group appointment shell which can be a part of recurring series or a non-recurring one.

In NextGen® Enterprise PM, open the appointment book.
From the Daily, Weekly List, Weekly Schedule, or Multi-View view, right-click an individual appointment that is scheduled as part of a group appointment, and then select Open > Group Appointment.
The Edit Group Appointment window opens.
Before you cancel a group appointment, clear any indicators against member appointments under the Associated Member Appointments section.
The Cancelled check box becomes available.
Select the Cancelled check box. Then select a reason for cancellation.

Note: Reason is a required field, which appears only when you select Track Cancellation Reason in Appt Scheduling in Practice Preferences.
To save the changes, do one of the following:
- To save the changes without closing the Edit Group Appointment window, select Save.
- To save the changes and close the Edit Group Appointment window, select OK.
Select OK on the message that appears prompting you to confirm the cancellation of the group appointment.
The group appointment and all associated individual member appointments are canceled. The canceled appointments disappear from the appointment book. If the group appointment is a recurring series, the Cancel Group Appointment window opens.
To cancel recurring group appointments, do one of the following:
- To cancel specific recurring appointments in the Recurring Group Appointments section, select the appointments that you want to cancel.
  Note: The Recurring Group Appointments section displays the upcoming group appointment dates that are part of the recurring series. Appointments are sorted in ascending order by date. All recurring appointments are selected by default.
- To cancel all recurring appointments, select Cancel All Recurring Instances under Cancel Options. This option is selected by default.
To cancel unlinked recurring group appointments, do one of the following:
- To cancel specific unlinked recurring appointments, in the Unlinked Recurring Group Appointments section, select the appointments that you want to cancel.
  Note: The Unlinked Recurring Group Appointments section displays the upcoming recurring appointments that are unlinked from the recurring group appointment series due to rescheduling of appointments. All unlinked group appointments are selected by default.
- To cancel all unlinked recurring appointments, select Cancel All Unlinked Recurring Group Appointments under Cancel Options. This option is selected, by default.
Select OK.
A message appears to confirm the cancellation of the additional group appointments.
Select OK.
The selected recurring group appointments and all associated individual member appointments are canceled.
