Set Up Recurring Appointments from Group Appointments
Open
NextGen® Enterprise PM
.
From the main toolbar, select
ApptBook
.
From the
Daily
,
Weekly Schedule
or
Multi-View
view, select the resource, date and time slot for the first group appointment in the recurring series.
Do one of the following:
From the appointment toolbar, select
Add Group Appts
.
Right-click on the time slot, and then select
New
>
Group Appointment
.
The
Add Group Appointment
window opens.
Enter the mandatory details for the appointment.
To save the first group appointment and create additional recurring group appointments with the same information, select the
Make Recurring
link.
A message appears to save the current group appointment and create individual appointments for members in the group.
Select
Yes
.
The
Recurring Appointment
window opens.
In the
Next Occurrence
field, select the date for the next group appointment in the recurring series.
Select
End after [n] Occurrences
or
End on [mm/dd/yyyy]
.
Note:
The date option is selected by default with an end date of one year from the current appointment date.
In
Occurs
, select
Daily
,
Weekly
,
Monthly
, or
Yearly
for the occurrence frequency, and then enter the corresponding details.
Note:
Daily is selected by default.
To display a warning when a category conflict is found, select the
Check for Conflicting Categories
checkbox.
This checkbox is selected by default.
For example, the category on the time slot where a recurring appointment to be scheduled does not allow the event being scheduled.
To exclude days designated as holidays in the
Holidays
tab of the
Practice Preferences
window, select the
Exclude Holidays
option.
Note:
When a scheduled recurring appointment falls on a holiday, the appointment is skipped for that day, and scheduled on the next occurrence date.

You can attach insurance or mark the self-pay checkbox for individual members in the series based on their original group appointment.

Schedule Recurring Appointments from Existing Group Appointments
Open NextGen® Enterprise PM. On the main toolbar, select ApptBook. Select the Group Check-in icon. The group modal window opens. Select the member's individual appointment. Right-click and then select Open > Group Appointment. The Edit Appointment window opens. To create additional recurring group appointments with the same details, select the Make Recurring link. The Recurring Appointment window opens. In Next Occurrence, select the date for the next group appointment in the recurring series. Select End after [n] Occurrences or End on [mm/dd/yyyy]. Note: This option is selected by default with an end date of one year from the current appointment date. In Occurs, select Daily, Weekly, Monthly, or Yearly for the occurrence frequency, and then enter the corresponding details. Note: Daily is selected by default. Cancel Group Appointments
When you cancel a group appointment, all associated individual member appointments are also automatically cancelled. A group appointment in a recurring series has a combination of linked and unlinked group appointments. You can determine the group appointment that needs to canceled. You can also cancel a group appointment shell which can be a part of recurring series or a non-recurring one. In NextGen® Enterprise PM, open the appointment book. From the Daily, Weekly List, Weekly Schedule, or Multi-View view, right-click an individual appointment that is scheduled as part of a group appointment, and then select Open > Group Appointment. The Edit Group Appointment window opens. Edit Group Appointment Before you cancel a group appointment, clear any indicators against member appointments under the Associated Member Appointments section. You can set up recurring appointments for patients who visit the provider regularly by using an existing appointment as a template. The recurring appointments follow the event and time of the template appointment. Note: When setting up recurring appointments, the following actions occur: You can choose to attach insurance to appointments in the series. Payer alerts continue to display for each appointment in the series, if turned on. If a case is attached to the appointment, it automatically attaches to recurring appointments. You can also choose to mark recurring appointments as self-pay if the original appointment is self-pay. Open NextGen® Enterprise PM. From the main toolbar, select Appointments. The Appointment Lookup window opens. Do one of the following: Select the existing template appointment, and then select Make Recurring on the Appointment Book toolbar.
