Scheduling Reports

The Scheduling reports category includes various reports that you can use to review appointment information for patients in your practice. The reports can help you monitor and manage appointments and assist with your internal scheduling processes in NextGen® Enterprise PM. The following reports are available from the Reports > Scheduling menu: Appointments Listing Daily Appointments Day Timer First Third Available Kept Appointments w/ No Charges Multi Resource Statistical Analysis of Appointments Wait List Appointments Listing Report Daily Appointments Report Day Timer Report First Third Available Report Kept Appointments with No Charges Report The Kept Appointments with No Charges report shows patients that kept an appointment but had no charges entered. Kept Appointments with No Charges Report

The Kept Appointments with No Charges report shows patients that kept an appointment but had no charges entered. It is sorted by: Resource name Beginning time The report provides no totals. The application provides the option to show the patient chart balance (the total balance due for that patient chart) on the report and enables you to sort by the chart balance. You can show the patient self balance ( Pat Slf Bal) , which is that portion of the total balance due for which the patient is responsible. To access the report in NextGen® Enterprise PM, select the Reports menu and select Scheduling and the select Kept Appointments w/no Charges. Daily Balancing for the Front Office

Daily Balancing for the Front Office (Front Desk) involves: Accounting for all kept appointments - the Kept Appointments with No Charges report Balancing charges entered to fee tickets - the Daily Charges report Balancing payments and/or bank deposits (active batch) - the Daily Payments report Encounters with No Charges Appointment No shows Accounting for Kept Appointments The report shows patient appointments with a Kept status that do not yet have charges entered on the associated encounter. Balancing Charges Entered to Fee Tickets To balance charges entered in to the system to fee tickets, run the Daily Charges report. Reset Appointment Status from Kept to Expected

For example, if the reason for removing the encounter was because the appointment was checked-in in error, the appointment should have a status of Expected, not Kept. If the appointment status is not reset, the appointment continues to appear on the Kept Appointments with No Charges report. Access the Patient Chart. Select the Clinical History/Notes tab. From the Topics list on the left, select Appointments. From the Details section on the right, select the appointment whose status is to be changed. Right-click and select Open from the menu. The Edit Appointment window appears. Clear or uncheck, the Appointment Kept check box. To save changes and close the window, select OK. The appointment status changes from Kept to Expected. Appointments Listing Report

This listing report can be pulled daily to show who is scheduled, who needs to be confirmed, and what medical records to pull. It is sorted by resource name, appointment time, beginning time, and event. The only total is a count of appointments for each resource. You can run the Daily Appointments Listing report prior to the patients coming in to the office. This enables you to look at the patients' qualifying authorizations and referrals. From the Report Filter: Appointments Listing under Filter 1 you can set the conditions for the data that you want to print on the Appointments Listing report by setting the Appt Statuses field as Cancelled, Expected, Kept, No Show, or Pending. To list appointments of all statuses, select <none> from the drop down box or leave the Appt Statuses field blank. The options are also available to display only, exclude, or include all statuses of Confirmed, Deleted, Rescheduled, and Retained appointments. The application also provides the option to show the

Mark an Appointment as Kept

An appointment is automatically marked as kept when an encounter is created and linked to the appointment during the Checkin/Create Encounter auto-flow process. You can also mark an appointment as kept without linking an encounter to it. Open the Appointment Book window. Select the appointment to be marked as kept. Do one of the following: Right-click the appointment and select Mark as Kept. Note: The Mark as Kept menu option is unavailable if the appointment is already kept. Open the appointment and select the Appointment Kept option on the Edit Appointment window. Select OK to save changes and close the window. The appointment status is changed to Kept and the appointment is crossed-out on the schedule. Parent topic: Appointment Scheduling
