Additional In Progress Status Security Rights

The security rights associated with the In Progress billing status enable you to control which users can: Set new encounters to be In Progress encounters change the In Progress status recalculate charges on In Progress encounters In Progress Encounter rights are set up in System Administrator on the Rights tab in Operations > Encounters. Setting the Default Status of New Encounters to In Progress

Depending on your kind of practice, you might prefer that all new encounters are created with the In Progress status set by default instead of users manually setting the status. Then, whenever a user creates an encounter, the In Progress check box will be automatically selected on the Create Encounter window. Users cannot clear the In Progress check box unless they change the selection in the Encounter Types field to only Billable. Some encounters, such as point-of-sale, do not require an In Progress status. By changing the encounter type to Billable, the front office can then enter charges for the encounter. Because point-of-sale encounters are NextGen® Enterprise PM-only, setting the encounter type to Billable prevents the point-of-sale encounter from displaying in the NextGen® Enterprise EHR. Enable In Progress Billing Status

When the In Progress billing status is enabled, the status and all related features become available in NextGen® Enterprise EHR and NextGen® Enterprise PM. Note: Once you turn this feature on, you cannot turn it off. In the Encounters Practice Preferences, select the Enable In Progress billing status check box. A message displays so you can confirm that you want to enable the billing status. Select OK. Allowing Patient Procedure Trigger to Modify Locked Encounter Charges

In NextGen® Enterprise EHR, you can allow the patient procedure trigger to add, modify, or delete charges (CPT codes) for encounters in a locked status. You might want to allow this action, for example, if some offices or specialties provide care to a patient over a period of time. Because the cost of care cannot be accurately predicted, these offices or specialties would need to hold the charge (CPT code) until the clinician determines the patient’s specific treatment regimen is complete. When the trigger is allowed to modify charges, users can associate all charges throughout the course of a case with one specific encounter regardless of the encounter lock status instead of the users submitting each charge on independent encounters. The practice can consolidate all procedures onto one encounter that will be used for billing in NextGen® Enterprise PM. In Progress Billing Setup

The In Progress encounter status represents work or care that has not been completed and, therefore, would not be stated in the accounts receivables. For example, you could use the status to represent orthotic or prosthetic devices that are not yet completed or for pre-paid patient care that is not yet administered. When NextGen® Enterprise PM users enter charges and transactions for an In Progress encounter, those items will contain blank process dates and, therefore, cannot officially be included in the financials and cannot be part of the receivables. After a user creates an encounter in an In Progress status, a process can change the status from In Progress to Unbilled, which is the normal status for an encounter that has yet to go through billing and produce a claim. When the status changes to Unbilled, all charges and transactions entered for the In Progress encounter become posted and the system sets the processing and closing dates on the transactions and charges. Enable the Use Convert In-Progress Indicator

Use this procedure to identify all new and existing encounters as convert in-progress. Use the following procedure to enable this option. In NextGen® Enterprise PM, select the Admin > menu > Preferences > Practice > Encounters The Practice Preferences Encounters window opens. Select the Use Convert In Progress Indicator check box and select OK.
