Setting the Default Status of New Encounters to In Progress

Depending on your kind of practice, you might prefer that all new encounters are created with the In Progress status set by default instead of users manually setting the status. Then, whenever a user creates an encounter, the In Progress check box will be automatically selected on the Create Encounter window. Users cannot clear the In Progress check box unless they change the selection in the Encounter Types field to only Billable. Some encounters, such as point-of-sale, do not require an In Progress status. By changing the encounter type to Billable, the front office can then enter charges for the encounter. Because point-of-sale encounters are NextGen® Enterprise PM-only, setting the encounter type to Billable prevents the point-of-sale encounter from displaying in the NextGen® Enterprise EHR. Additional In Progress Status Security Rights

The security rights associated with the In Progress billing status enable you to control which users can: Set new encounters to be In Progress encounters change the In Progress status recalculate charges on In Progress encounters In Progress Encounter rights are set up in System Administrator on the Rights tab in Operations > Encounters. Making the Convert In Progress Check Box Visible in Encounter Maintenance

To allow NextGen® Enterprise PM users to change the In Progress status of an encounter, you must display the Convert In Progress check box on the Create Encounter and Encounter Maintenance windows. The check box is a mechanism that, when it is not selected, prevents In Progress encounters from converting to Unbilled. Once the Convert In Progress check box is selected, the system releases a hold on the encounter and allows the encounter to be converted to Unbilled in NextGen® Enterprise PM. Only users with the appropriate security right can select the Convert In Progress check box either: manually on the Create Encounter and Encounter Maintenance windows. by using a template field with a convert-in-progress indicator in NextGen® Enterprise EHR. Allowing Patient Procedure Trigger to Modify Locked Encounter Charges

In NextGen® Enterprise EHR, you can allow the patient procedure trigger to add, modify, or delete charges (CPT codes) for encounters in a locked status. You might want to allow this action, for example, if some offices or specialties provide care to a patient over a period of time. Because the cost of care cannot be accurately predicted, these offices or specialties would need to hold the charge (CPT code) until the clinician determines the patient’s specific treatment regimen is complete. When the trigger is allowed to modify charges, users can associate all charges throughout the course of a case with one specific encounter regardless of the encounter lock status instead of the users submitting each charge on independent encounters.
