Correspondence Language and Letter Type Association Indicators

The indicators in the Language column of the Letters window helps you in identifying if a letter type is tagged to a correspondence language and to which correspondence language a letter type is tagged. You can also determine if a letter type is associated with other letter types. Correspondence Language and Letter Type Association Indicators Description Default Appears in the Language column when the letter type is tagged to the default correspondence language (English). You can change the correspondence language of the letter types. You can associate this letter type with a letter type that is tagged to other correspondence language. Default - Associated Appears in the Language column when the letter type is associated with another letter type that is tagged to a correspondence language other than English. You cannot change the correspondence language of the letter. You must remove the association to change the correspondence language. You cannot associate this letter type with other

Create Letters

You can create letters in NextGen® Enterprise PM using specific letter types. In File Maintenance, select Master Files > Practice > Letters. The Letters window opens. Select the letter type you want to create in the Letter Type list. Note: If you want to create a new letter based on a letter that already exists in the system, select the saved letter you want to copy. To edit the letter type, select Edit > Letter Types. The Letter Types window opens. Select the letter type, and then select OK. Right-click and select New. The Edit Appointment Reminder Letter window opens. Note: The text editor has features common to other text editor applications that you might have used before. Use the following methods to design the letter: Enter free text at the current cursor location. Right-click and then select the field you want to insert. Note: On Microsoft Windows Vista ® or higher, when you right-click the letter to open the shortcut menu to add fields, the toolbar hides. The toolbar reappears

Associate a Letter Type with Multiple Letter Types

You can associate a letter type with multiple letter types that are tagged to different correspondence languages for previewing and printing the letter types in different languages. Note: You must unhide the hidden letter types to associate them with other letters. Open File Maintenance. Select Master Files > Practice, and then select Letters. The Letters window opens. To associate a letter in the Default language of English to a letter in a different language, select the letter in the default language, right-click and then select Associate. The Correspondence Language Letter Association window opens and displays a list of letters available for association. Note: You can associate only the letter that is tagged to the default correspondence language (English). Select one or more letters to associate to the letter in the default language and then select OK. You can preview and print the letters in the associated foreign languages. Associate a Default Letter Type to a Language

The first step is to compose a letter enter in one or more of the supported correspondence languages. Then you can associate the foreign language letters to the default letter type written in English. Access File Maintenance. Select Master Files > Practice and then Letters. The Letters window opens. Select the letter associated with the Default language (English), right-click and then select Associate. The Correspondence Language Letter Association window appears. To associate a letter written in one of the supported correspondence languages to the default letter type, select the check boxes next to the Letter Name, and then select OK. The Letters window appears. Each selected letter type, written in a supported correspondence language, displays with a check mark in the Language column. In NextGen® Enterprise PM, you can preview and print the letter type in all the languages listed in the Language column. Letters

Use the Letters master file to set up patient letter templates. You can use it to set up letters for budget plans, recall, and patient-specific or account-specific items. After the letters have been set up, they can be previewed, printed, and exported. Letters are discussed in detail in the Forms, Letters, and Labels chapter of the User Guide for NextGen® Enterprise PM. Setting Up the Letters Master File for Supported Correspondence Languages

The application does not automatically create letters in languages other than English. You must create your letter in the desired language and then copy and paste the content into a letter. Setting up the Letters Master File, includes the following steps: Create each letter type in English. This letter will be the Default letter. Create letters in one or more of the supported correspondence languages. Associate letters in a supported correspondence language to the Default Letter type, written in English. Refer to the procedure Associate a Default Letter Type to a Language. On the Letters window, you can perform the following tasks: Create a new letter. Open the Default letter and modify the content of the letter. You CANNOT change the language of the Default letter. Open a letter associated to a default letter type, and then modify the content of the letter or change the associated language. Copy an existing letter. The letter displays in the last row of the table and is named "Copy of
