Practice Preferences for Waiting Lists

Field	Description
Enable Real-Time Waitlist Processing	Select this option to run real-time checks and triggers to identify waiting list opportunities. If you do not select this option, the checks and triggers run during the nightly process, and no tasks are generated when users delete appointments.
Waitlist Interim Appt Automatic Cancellation Reason	Select the default cancellation reason code to use when the waiting list automatically cancels an interim appointment. You can add or modify these reasons in the Appointment Cancellation Reasons master file.
Minimum Lead Time To Generate A Waitlist Worklog Task	Set the minimum lead time necessary to contact the patient and set up a visit for the patient. For example, if an appointment slot opens 15 minutes from now, that is not enough time to contact the patient and get them into the practice; therefore, a task is not generated. If a slot opens 90 minutes from now, then there may be sufficient time to contact the patient and get them into the practice. Therefore, a task is generated and assigned to the appointment clerk.

Wait List Practice Preferences Descriptions

The following table provides descriptions of the fields located in the Wait List Practice Preferences. Appointment Wait Lists

When a patient's preferred time slot for an appointment is not available, you can create a Wait List item for the patient. A Wait List Item is a means of holding the patient's place in line for an appointment that best meets their first preference. Prior to adding the patient to a wait list, it may be desirable to schedule an interim appointment for the patient. This ensures the patient has an appointment, even though it may not be on the date/time they prefer. The interim appointment exists until an appointment time slot and/or resource that meets the patient first preference, as recorded on the Wait List Item, becomes available. At that point, if the Wait List feature is configured to process automatically, the application creates a Worklog task that instructs the current user to convert the Wait List Item to an appointment for the patient. The application then deletes the interim appointment since the patient now has an appointment that meets his or her first preferences. Reference:

Set Up Wait List Tasks

To set up a Wait List task, perform the following steps: In the Source Type field, select Appointment Waitlist. In the Task Type field, enter a name for the task type. Select the Auto Creation tab. A list of task action descriptions for the source type display in the Action column. The items in the list represent events that occur in the application that can be selected to automatically generate tasks. Select the drop-down arrow in the Default Assigned To for all selected actions and select who you would like to assign this task to.
