Set Up Wait List Tasks
To set up a Wait List task, perform the following steps:
- In the Source Type field, select Appointment Waitlist.
- In the Task Type field, enter a name for the task type.
- Select the Auto Creation tab.
A list of task action descriptions for the source type display in the Action column. The items in the list represent events that occur in the application that can be selected to automatically generate tasks.
- Select the drop-down arrow in the Default Assigned To for all selected actions and select who you would like to assign this task to.
- If you want the Worklog Manager to check for a waitlist match in real-time or nightly, select the one of the following actions:
For this process... Select this action... Task auto creation is triggered... In real-time Waitlist matches open appointment slot. Note: You must manually enable real-time waitlist processing.For any scheduling change. The scheduling update process will run before the tasks update process runs; and a task is created for any waitlist that matches open slots based on criteria set in NextGen® Enterprise PM. Nightly Waitlist batch update to match potential candidates to open appointment slots When a user: - Cancels an appointment.
- Reschedules an appointment.
- Deletes an appointment.
- Deletes a waitlist.
- Select the Auto Create Location tab and set the task to be automatically assigned to a group or to users based on the location.
- Select the Auto Create Rendering tab and set the task to be automatically assigned to a group or to users based on the rendering provider.
- Select the Auto Completion tab.
- If you want to set actions that trigger real-time or nightly Auto Completion, select from the following actions:
For this process... Select this action... Task auto creation is triggered when... In real-time Waitlist completed successfully A waitlist completes successfully. In real-time Waitlist modified or deleted A waitlist is modified or waitlist is deleted. In real-time Waitlist no longer matches open appointment slot due to another appointment being booked A slot slated for a waitlist is taken by another appointment booking. Nightly Waitlist no longer has open slot available There is any scheduling change. The scheduling update process will run before the tasks update process runs. Any tasks that exist for a waitlist that no longer has a slot available due to the current state of the appointment book are Auto Completed. - For the selected actions on the Auto Creation and Auto Completion tabs, right-click in the Action column to enter values for the parameters.
A task generates each time the conditions specified in the Action columns occur.
- If you want to override the default user or group that the tasks are assigned to, then right-click in the Override Assigned To field, and then select Open to select a new user or group.
