Transaction Approval Tasks
Your practice can use the Transaction Approval feature to control when payments, adjustments and refunds get posted. When Transaction Approval is being used, users cannot post transactions that exceed a specified dollar amount without first obtaining an approval from a manager or supervisor. Approval of transactions is managed through Worklog tasks.
Managers, or any person designated as an approver, can log in to NextGen® Enterprise PM and check the list of tasks awaiting their approval in the Worklog. Users awaiting approval can check the status of their assigned tasks in the Worklog to see if an approval has been granted. You can configure the system to send an email to a user when a transaction task awaiting approval has been granted (or denied) approval.
During Payment Entry, transactions that meet the criteria that requires an approval (as indicated in the Task Types master file) auto-create a task. This task appears in the approval of the person (or persons) who are designated in the Task Approval Profile master file as approvers of that task type. Users are prevented from posting the transaction until one of the approvers has approved the task.
The transactions needing approval can be "carved out" to a separate TRAH (Transaction Approval Hold) batch that remains on hold until they have been approved. After the transactions have been approved, they are released to a separate APPR (Transaction Approval) batch that is automatically set to be posted by the NextGen Background Business Processor (BBP).
When a Transaction Approval task has been denied, the user can:
- Modify the transaction then resubmit the task for approval
OR
- Delete the transaction from the TRAH batch on the next day
